Job Summary
As an Administrative Assistant on our Office Services team in our law firm, you will play a vital role in ensuring the smooth operation of our office. You will be responsible for a wide range of support tasks, including administrative and facilities support, inventory management, budgeting and data tracking, human resources support, and special events and projects. This is a full-time position, Monday through Friday from 8am – 5pm.
Key Responsibilities
- Provide administrative support: create and file documents both electronically and in paper form; schedule meetings and events, communicate with vendors, and maintain office supplies inventory
- Provide front desk/receptionist support: act as back-up for front office duties, including answering phones, greet guests and schedule conference rooms, and perform office runs
- Provide HR support: assist with onboarding and offboarding, firm training and special events, annual employee reviews, benefits enrollments, and maintenance of handbooks and policies
- Provide facilities support: act as point-of-contact for security badges and maintenance requests
Requirements
- Proven experience as a receptionist or administrative assistant is required. Law office experience is preferred.
- Strong computer literacy with proficiency in Microsoft 365.
- Excellent clerical skills with attention to detail in data entry tasks.
- Ability to type efficiently while maintaining accuracy in documentation.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Professional demeanor with excellent verbal and written communication skills.
- Ability to handle sensitive information and maintain confidentiality.
