Job Summary:
We are seeking a highly organized and detail-oriented Home Care Scheduling Manager to oversee the daily scheduling operations of our dedicated caregiver team. In this leadership role, you’ll ensure the timely and appropriate delivery of home care services, resolve scheduling conflicts, and serve as a key communication bridge between caregivers, clients, and the management team.
Key Responsibilities Home Care Scheduling Manager:
- Lead and support the scheduling and staffing team with professionalism and accountability.
- Develop and manage accurate caregiver schedules aligned with client care plans.
- Monitor staffing levels and make adjustments to ensure continuity of care.
- Ensure consistent on-call coverage by coordinating with staff and managing after-hours scheduling needs.
- Serve as the main point of contact for caregivers regarding scheduling, shift changes, and time-off requests.
- Maintain consistent, proactive communication with clients and families to confirm schedules and address concerns or service changes.
- Collaborate with HR and recruitment teams on caregiver onboarding and availability tracking.
- Respond quickly to last-minute call-outs, absences, or emergencies by arranging appropriate coverage.
- Resolve conflicts and address concerns between clients, caregivers, and team members to ensure positive outcomes and continued service delivery.
- Maintain accurate records in ClearCare and other internal database systems.
- Monitor compliance with caregiver licensure, certifications, supervisions, and training.
- Generate scheduling and staffing reports for management review.
- Assist in coordinating client assessments and reassessments with clinical staff.
- Ensure compliance with agency policies and all applicable state and federal home care regulations.
- Maintain and configure new enhancement and workflows in Scheduling Software Systems.
- Monitor and track KPIs and adjust workflows as indicated.
Qualifications of Home Care Scheduling Manager:
- High School Diploma or GED required; Associate’s or Bachelor’s degree preferred.
- Minimum 2 years of experience in home care or healthcare scheduling.
- Proficiency in scheduling software (experience with home care platforms is a plus).
- Strong organizational, multitasking, and problem-solving abilities.
- Excellent interpersonal and communication skills.
- Ability to thrive in a fast-paced environment with shifting priorities.
- Working knowledge of HIPAA and patient confidentiality standards.
Preferred Skills of Home Care Scheduling Manager:
- Experience with Electronic Visit Verification (EVV) systems.
- Ability to work in multiple databases.
- Advanced computer skills, including Microsoft Office and Teams.
- Comfortable using and working with AI intergration platforms.
- Strong written and verbal communication.
- Bilingual (English/Spanish) highly desirable.
- Familiarity with Massachusetts home care regulations.
Work Conditions of Home Care Scheduling Manager:
