Job Summary

The Senior Grant Accountant will plan, monitor, and prepare pre and post award financial and accounting activities. The Senior Grant Accountant is an individual contributor responsible for overseeing fiscal and compliance aspects of grants, maintaining accurate financial records and preparing financial reports for internal and external stakeholders and will stay current on federal and state grant regulations. The Senior Grant Accountant will participate in the month and year-end close to accurately prepare and report financial information and enable strategic decisions. This role requires a meticulous approach to financial management, as well as a thorough understanding of the specific requirements and conditions of each grant, to support the organization's goals and maintain the trust of grant providers.

Essential Duties / Responsibilities

The essential functions are representative, but not all-inclusive, of the knowledge, skills, and abilities required to perform this job :

Fiscal grant accounting management

  • Prepare financial reports and invoices for submission to grantors, ensuring compliance with grantor guidelines and timelines
  • Monitor grant budgets, expenditures and projections to ensure funds are utilized in accordance with grant agreements and federal regulations
  • Accountable for the completion of monitoring and reporting required by funders
  • Analyze grant agreements to determine financial reporting requirements, budget restrictions and compliance obligations
  • Perform monthly reconciliation to ensure that the accounting related to grants within the general ledger are aligned and accurately reflect monthly activity and provide a monthly review of multiyear grants to ensure the recording of liabilities is in accordance with GAAP
  • Perform monthly reconciliation / crosswalk of draw amounts to the general ledger and grant awards
  • Prepare closeout reports
  • Organize, prioritize workload; Utilize independent analytical and problem-solving skills
  • Assist CRJ staff and teams in applying for, and awarded, grants
  • Reviews restricted accounts and all other expenditures
  • Administrative

  • Collaborate with program managers and other stakeholders to with grant accounting management as needed
  • Develop, implement and maintain internal controls and procedures for grant accounting to ensure compliance with GAAP and applicable laws and regulations.
  • Identify opportunities for efficiencies and improvement and take action to meet deadlines
  • Partner with CRJ Staff on federal financial reporting, compliance, and documentation
  • Assist with the definition, documentation, and implementation of processes to improve operational performance as well as ensure effective internal controls over financial operations
  • Monitor and keep current with GAAP / FASB / GASB developments, including OMB circulars and supplements
  • Develop and maintain a database of grant financial documentation for historical reference and compliance purposes, ensuring confidentiality and security of financial records
  • Develop and deliver training on grant protocols
  • Develop and maintain a resource guide to assist in the identification and tracking of grant opportunities
  • Financial Compliance and Audit Support

  • Serve as audit liaison for grant inquiries and single audits
  • Prepare audit schedules, documentation and support for annual audits, specifically related to grants
  • Liaison for federal monitoring visits
  • Support Finance Accountant and Controller with the preparation of the Schedule of Expenditures of Federal Grants (SEFA)
  • Support the month-end and year-end accounting closing procedures and the preparation of related statements
  • Complete other work as assigned
  • Required Skills / Abilities

  • Extensive knowledge of accounting and accounting for grant grants
  • Extensive knowledge of the laws governing the administration of state and federal grants
  • Ability to maintain detailed and extensive records and to prepare reports from same. Ability to deal tactfully and appropriately with local, state and federal agencies and officials
  • Communicate effectively through email, phone calls, video calls, etc. with internal and external stakeholders
  • Demonstrated attention to detail, time management and independent analytical and problem-solving skills
  • Proficiency in Microsoft Office and accounting software (experience in NetSuite is a plus)
  • Ability to flex work schedule required to meet deadlines beyond routine workflow

  • Required Education and Experience

  • Minimum of a bachelor's degree in accounting or finance or equivalent professional experience (CPA certification preferred)
  • Three or more years in nonprofit accounting, auditing, monitoring, financial management, state and federal grant administration or an equivalent and relevant combination of education and experience

CJI provides technical assistance, research, and other services to improve outcomes in policing, the corrections system, pre-trial, re-entry, community supervision, and juvenile justice.
