About the Role
Community Missions of Niagara Frontier, Inc. is seeking a PROS Office Manager to oversee the daily administrative operations of our Niagara Visions PROS Program. This role supports both program and division leadership, ensuring smooth operations for clinic services, staff, and participants. The Office Manager plays a key role in billing, compliance, quality assurance, and administrative support for the entire Mental Health Recovery Services Division (4 programs total).
Key Responsibilities
- Manage daily administrative operations for the PROS program, including staff and client coordination
- Assist with Medicaid and Managed Care billing, purchase orders, petty cash, and office supplies
- Maintain confidential participant records and ensure compliance with agency standards
- Support the VP of Mental Health Recovery Services with administrative duties across division programs
- Compile timesheets, prepare job postings, and assist with hiring/separation paperwork
- Coordinate travel, training, and communications for staff and leadership
- Collect and monitor attendance, billing, and service records for all program participants
- Support quality assurance audits and prepare monthly service and billing reports
- Maintain prescriber and nurse schedules, including appointment reminders and follow-ups
- Supervise front office staff and promote a welcoming, efficient program environment
- Build and maintain positive relationships with participants, families, and community partners
Qualifications
- Bachelor’s Degree in a Human Services–related field preferred; Associate’s Degree with relevant experience accepted
- Minimum of 2 years in a Human Services setting
- At least 1 year in an administrative or office management role
- Strong organizational, communication, and time management skills
- Proficiency in Microsoft Office and database systems
- Typing speed of at least 50 WPM
- Professional communication, recordkeeping, and teamwork; experience with public contact and service coordination

Pay: $38,355.00 - $42,764.00 per year
