We are a 40 year-established hearing healthcare practice focused on delivering expert care and building long-term patient relationships. We are seeking a highly skilled, U.S.-based CRM and marketing automation specialist to build and manage a turnkey, HIPAA-conscious communication system for both patients and referring physicians.
Position Overview:
This role will be responsible for organizing and activating data from:
- HubSpot
- MailerLite
- Sycle
You will build a fully automated system that:
- Communicates with patients twice weekly
- Builds loyalty and trust
- Generates reviews and referrals
- Establishes our practice as the local authority
- Expands physician referral relationships within a 15-mile radius
👉 Initial rollout will focus on one office (Mt. Kisco, NY), then scale to three additional locations.
Key Responsibilities:
1. CRM Data Audit & Organization- Review and clean existing data in HubSpot and MailerLite
- Segment patients based on:
- Device age
- Last visit
- Warranty status
- Referral history
- Build a structured tagging system
Create and manage automated campaigns, including:
- Educational emails (hearing health, brain health, technology)
- Appointment reminders and annual retests
- Warranty expiration alerts
- Upgrade campaigns (3 year devices)
- Birthday and milestone messages
- Review and testimonial requests
- Referral requests
👉 For patients without email:
- Generate print mailing lists for letters/postcards
- Build a database of physicians, NPs, and audiologists within 15 miles
- Develop outreach campaigns:
- Introduction letters/emails
- Quarterly updates
- Referral thank-you system
- Track referral activity and growth
- Build workflows in HubSpot and/or MailerLite
- Create a simple weekly dashboard showing:
- Emails sent
- Open/click rates
- Appointments booked
- Reviews generated
- Referrals received
REQUIRED: Paid Audit Phase (Before Full Hire)

- Build the system
- Estimated ongoing weekly hours
- Identify immediate revenue opportunities
👉 Audit compensation: $150–$300Ideal Candidate:
Required:
- U.S.-based (required)
- Strong experience with HubSpot automation
- Experience with MailerLite or similar platforms
- CRM data segmentation and lifecycle marketing

Time Commitment:
Phase 1 (Setup):
- 40–80 hours (project-based)
Ongoing:
- 5–10 hours per week
Compensation:
- $30–$60/hour OR fixed project fee
- Monthly retainer available after setup
Performance Bonuses:
- $100 per 10 new reviews generated
- $250 for measurable increase in booked appointments
- $250 for every 5 new referring providers activated
- Additional bonus tied to revenue growth from campaigns
