Job Description: Dental Office Manager
Position Summary:
The Dental Office Manager is responsible for leading day-to-day front office operations while driving the Community Free Dental Clinic’s (CFDC) mission through community outreach, volunteer management, and patient advocacy.
Core Responsibilities
1. Dental Office Management
- Operations & Efficiency: Oversee daily front office activities, ensuring smooth patient flow, efficient scheduling of patients, volunteers, staff, and dentists while ensuring high-quality patient care.
- HR Leadership: Recruit, train, supervise, and mentor administrative and volunteer staff; conduct performance reviews and facilitate staff and volunteer meetings. Implement and maintain internal HR and volunteer policies.
- Data Entry, Patient Records & Reporting Oversight: Manage patient information, services provided to patients, and monthly statistics reporting.
· Compliance: Ensure adherence to HIPAA, OSHA, State Dental Board regulations, and Human Resources requirements.
- Inventory & IT: Manage office supplies, dental equipment, and practice management software (e.g., Dentrix, Open Dental).
2. Volunteer & Staff Coordinator
- Volunteer Recruitment & Retention: Identify, recruit, and train volunteers for outreach events and in-office support.
- Scheduling: Coordinate volunteer schedules to complement, not replace, permanent staff, ensuring safety and compliance with licensing laws.
- Appreciation: Develop recognition programs to improve volunteer retention.
Required Skills and Qualifications
- Experience: 3 years of dental office management experience, including familiarity with dental software (e.g., Eaglesoft, Dentrix). Knowledge of Office 356 including Outlook & Google Mail. Experience with appointment reminder systems is a plus.
- Leadership: Proven ability to manage, train, and motivate a team.
- Communication: Exceptional verbal and written communication skills.
- Relationship Management: Strong interpersonal skills to build rapport with patients, staff, volunteers, and community partners.
- Organization: Highly organized with the ability to manage multiple projects
- Education: Associate or bachelor’s degree in healthcare administration, business, or related field preferred.
Work Location: In person
