Position Overview
We seek a motivated and detail-oriented administrative assistant to join our grantmaking team. The successful candidate will work in our busy office setting to process weekly grant payments, manage our online grantee portal, assist program officers and other staff with grantee communications and correspondence, and support nonprofit representatives with inquiries about funding opportunities. This position requires discretion with confidential information, as well as careful oversight in determining eligibility and other factors to ensure compliance with standards and regulations.
Core Responsibilities
· Correspondence with grantees, applicants, and donors/funders as it relates to online portals, deadlines, and required information
· Create and manage applications and reports
· Maintain database profiles to reflect accurate contact and reporting info, etc.
· Manage all grant distributions (via checks, ACH, and interfund transfers) for CFA funds as well as supporting organizations
· Run reports and take minutes for various committee meetings
· Primary oversight of grant reports for our grantees, including reminders and delinquent report tracking
· Applicant due diligence, including determination of eligibility
· Development of annual Donor Advised Fund catalog
· Assist with grant administration and tracking for our fund partners, including oversight of their payments, grant reporting, etc.
· Administrative support for Program Officers, as needed, including filing, drafting letters of support, research, etc.
· Presentation responsibilities, as needed
General Responsibilities
· Get to know our donors and grantees
· Proactively ask questions and suggest process improvement
· Other duties, as needed, occasionally including site visits and/or other travel
· Provide editing/proofreading support
· Suggest content to Communications Coordinator
Ideal Candidates
· Bachelor’s degree preferred
· Proficiency in Microsoft Office Suite and Google Suite, with ability to gain proficiency in foundation-specific software and technology
· Experience with mail merge and spreadsheets
· Excellent attention to detail and organizational skills
· Strong communication and interpersonal skills; comfortable speaking tactfully with others on the phone, in-person, and through email
· Strong analytical and problem-solving skills
· Ability to work independently, with minimum supervision, as well as having strong interpersonal skills in a team environment
· Ability to work under pressure and meet deadlines
· Strong time management skills and ability to multi-task projects and priorities
· Ability to anticipate needs and ask questions
· Maintain high level of confidentiality
