Job Summary
The Community Education Project is seeking a highly organized and motivated Bilingual (English/Spanish) Administrative Assistant to complete administrative tasks including but not limited to: (data tracking, data entry, student calls, emails, texts, social media engagement ) The ideal candidate will possess exceptional communication skills in both English and Spanish enabling effective interaction with diverse teams and clients. This role requires strong attention to detail, proficiency in various office management tasks, and ability to accurately translate documents from English to Spanish. The Administrative Assistant is an in person position working Monday through Thursday 9am-2pm, with occasional evening and/or weekend hours to support organizational events.
Duties
- Manage daily office operations, ensuring efficiency and organization.
- Communication through phone, text, email; maintaining professional etiquette.
- Be the 1st point of contact for adult learners looking to pursue their educational interests of learning/improving English language proficiency and/or studying for their HiSET/GED in Spanish.
- Ensuring enrollment tasks are complete and documented for each student (registration forms, correct contact information, class schedules and expectations communicated clearly and kindly to students)
- Track and maintain data both internally and using statewide database
- Manage day-to-day activities on social media channels, including content scheduling, monitoring, and community management.

Skills
- Proficient in office administration practices with a strong understanding of organizational skills.
- Manage and share cloud-based documents, spreadsheets, and presentations using Google Drive and Docs. Host and participate in video conferences using Zoom.
- Complete all mandatory organization and industry-specific training within defined deadlines.
- Strong attention to detail in maintaining accurate records
- Excellent phone etiquette.
- Ability to multi-task and prioritize
- Reliable with a positive demeanor that is welcoming to students
- Comfortable interacting with diverse populations
- Bilingual proficiency in English and Spanish is required for effective communication with students
