We are seeking a proactive and detail-oriented individual to join our Human Resources team as an HR Assistant. In this role, you will leverage your foundational HR expertise to streamline our talent pipeline, ensure bulletproof compliance, and elevate the new-hire experience. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a passion for contributing to the smooth functioning of HR functions within the company. Duties will be performed up to 50% on-site at the Hyattsville Headquarters location. Must reside within the DMV area (DC, suburban MD & Northern Virginia).
Reports to: Human Resources Manager
Employment Status: Full-time, Non-Exempt
Schedule: Monday through Friday, 9 am - 5 pm
Qualifications & Requirements
- 2 years of hands-on experience handling recruitment coordination, onboarding, or general HR administration.
- Familiarity with employment documentation, pre-employment screening compliance, and unemployment processes.
- Proficiency with Google Workspace (specifically Google Calendar) and HRIS tracking tools.
- Exceptional written and verbal communication skills, with a track record of effectively partnering with management.
- Commitment to maintaining confidentiality in handling sensitive HR and operational information.
- Ability to work independently as well as part of a collaborative team environment.
- Flexibility to adapt to changing priorities and multitask in a fast-paced work environment.
- A professional who wants to master onboarding as a stepping stone to learning other core HR disciplines (e.g., employee relations, benefits, compensation).
Key Responsibilities
Talent Acquisition Support & Pipeline Management
- Screen applicants efficiently to identify top-tier talent for diverse open roles.
- Conduct telephone interviews, utilizing your HR insights to assess initial cultural and technical fit.
- Schedule in-person interviews and strategically coordinate dates/times with various hiring managers.
- Optimize scheduling logistics by maintaining ownership of the recruitment Google Calendar.
- Drive the post-interview process by following up with managers regarding interview results and next steps.
Onboarding Architecture & Employee Experience
- Draft and distribute professional offer letters and comprehensive new hire packets.
- Coordinate work schedules for incoming employees by partnering directly with department heads.
- Facilitate New Hire Orientation (NHO), serving as the professional face of the company for new team members.
- Manage NHO administration, including tracking attendance hours and reporting metrics to leadership.
- Conduct 90-Day HR Check-ins to evaluate retention, gather feedback, and ensure smooth employee integration.
Risk Management, Compliance & Administration
- Oversee pre-employment compliance, managing background checks, drug screenings, fingerprinting, and TB testing.
- Audit new hire paperwork and documentation to guarantee 100% regulatory compliance.
- Process employment verifications and skillfully handle unemployment compensation claims.
- Administer the employee referral program, confirming eligibility and distributing referral forms.
- Own the HR inbox, managing employee inquiries with the discretion, urgency, and professionalism of a seasoned practitioner.
- Acknowledges receipt of the Standards for Excellence: An Ethics and Accountability Code for the Nonprofit Sector
- Performs other duties as requested from time to time that are not specifically listed but are consistent with the position and skills of the incumbent and necessary for the efficient and effective operation of CCSI
