The Benefits Specialist supports the administration and day-to-day operations of employee benefit programs. This role manages benefit enrollments, maintains benefits data in the HRIS, responds to employee inquiries, and coordinates with vendors to ensure accurate and timely benefits administration.

This role supports the administration of benefits programs for a mid-sized healthcare organization and partners closely with HR leadership, payroll, and external benefits vendors to ensure effective program delivery. The Benefits Specialist also supports regulatory compliance, assists with open enrollment, and contributes to employee wellness and wellbeing initiatives through communication, committee participation, and program support.


Essential Functions
:

Benefits Administration

  • Administer day-to-day operations of employee benefit programs including medical, dental, vision, life, disability, retirement, and voluntary benefits.
  • Maintain accurate benefits data in ADP HRIS, including reviewing and approving benefit elections, changes, and eligibility updates.
  • Process benefit enrollments, qualifying life events, and terminations in accordance with plan rules and timelines.
  • Support the annual open enrollment process, including system setup, employee communications, and enrollment assistance.
  • Coordinate administration of leave programs (FMLA), disability claims, COBRA, Flexible Spending Accounts (FSA), and Workers’ Compensation with employees, managers, and third-party administrators.
  • Manage benefits billing activities including carrier invoice review and reconciliation.
  • Administer additional programs such as tuition reimbursement, retiree health benefits, malpractice coverage and retirement plan updates.
  • Coordinate documentation collection and tracking for ADA requests

Vendor and Compliance Management

  • Serve as liaison with benefits brokers, carriers, and third-party administrators to resolve issues and ensure effective service delivery.
  • Ensure compliance with federal and state regulations including ACA, COBRA, FMLA, ERISA, ADA, and OSHA requirements.
  • Maintain required benefits documentation, regulatory notices, and employee records.
  • Support benefits audits, ACA reporting, and non-discrimination testing.

Employee Support, Communication & Wellbeing

  • Serve as the primary point of contact for employee benefits inquiries, claims issues, and plan guidance.
  • Provide benefits education during onboarding and throughout the year.
  • Maintain benefits communication materials and FAQs.
  • Support employee wellness and wellbeing initiatives, including assisting with communications, programming, and wellness committee participation.

Data Management and Reporting

  • Track benefit enrollment metrics and participation trends.
  • Generate and analyze reports from ADP and external vendors.
  • Prepare benefits dashboards and assist with employee total compensation and benefits statements.


Position Requirements:

Education:

  • Bachelor’s degree in Human Resources, Business Administration, Health Administration, or a related field preferred. An equivalent combination of education and relevant benefits administration experience may be considered.
  • High school diploma/GED required.

Technical Skills

  • Experience working with HRIS systems (ADP preferred).
  • Proficiency in Microsoft Excel and Word.

Work Conditions (including travel, overtime required, physical requirements and occupational exposure):

  • Must be able to work non-traditional hours as needed.
  • Regularly requires walking, standing, stooping, bending, sitting, reaching, pushing, pulling and/or repetitive wrist/hand movements for various lengths of time throughout the day.
  • Ability to utilize computers and office equipment to complete daily work responsibilities.
  • Regularly works inside in areas that are adequately lighted and ventilated. Some fluctuation in temperature. No protective equipment routinely needed.
  • Must be able to adapt to continuous changes/demands of the job.


Philadelphia Residency Requirement:

  • The successful candidate must be a current Philadelphia resident or become a resident within six months of hire.
