POSITION SUMMARY

Under general supervision, the Clerk performs a wide variety of general clerical duties with only occasional instruction or assistance. This position is characterized by a wide variety of general clerical duties with only occasional instruction or assistance. This position is characterized by a high degree of confidentiality and independent action required in the performance of day-to-day duties. The incumbent must be computer literate, able to maintain confidentiality and work overtime as directed.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Answer routine questions pertaining to the weatherization process and departmental policies, and procedures.
  • Receive and respond to client concerns including validating agency and material manufacturer warranties as per contract requirements and refer to appropriate personnel for final resolution as needed.
  • Schedule home visits, including verifying material/inventory availability for weatherization jobs and coordinate site visits with the agency field staff, city inspectors, Home Energy Rating (HERS) and in accordance with the State Historic Preservation Officer (SHPO) requirements as required.
  • Prepare, validate, process and/or check a variety of documents such as bills, client records, and requisitions for completeness and accuracy.
  • Generate weatherization crew files for various contracts to include field forms e.g., assessment, diagnostic
  • Maintain files, correspondence, logs, client statuses and other source documents into an electronic database
  • Perform mathematical computations to determine client eligibility when required for client recertification
  • Convert paper files into an electronic database
  • Follow developed or adapted work procedures to carry out directives
  • Operate a variety of office equipment, including multifunction printers, fax machines, shredders, computer equipment and various software.
  • May serve as a lead worker in training, assigning, prioritizing, or reviewing the work of other employees for quality control
  • May be required to work overtime
  • May perform other assigned duties as required

MINIMUM EDUCATION AND EXPERIENCE

  • Equivalent to graduation from high school.
  • One (1) year of recent paid responsible office clerical experience, preferably within a Social Service Agency and demonstrated fulfillment of the knowledge and ability sections.

DESIRABLE QUALIFICATIONS

Bilingual English/Spanish speaking ability is desired.

PHYSICAL AND ENVIRONMENTAL REQUIREMENTS

  • Position requires intermittent sitting, standing, walking, twisting, and bending.
  • Simple grasping and hand manipulation, as well as, reaching above and below shoulder level.
  • Must be able to lift boxes weighing up to 25 pounds.
  • Requires working indoors in temperature-controlled environment with some exposure to copies and printer chemicals and/or fumes.
