Job Summary:
The Accounting Specialist – Financial Reporting plays a critical role in supporting the Finance Department by assisting with the month-end close process, preparing financial statements and schedules, performing reconciliations, managing grant reporting, and ensuring the agency remains audit-ready. This position is central to maintaining accurate and transparent financial records, supporting compliance with grant and regulatory requirements, and providing leadership with timely financial insights. The Accounting Specialist collaborates closely with program staff, the Controller, and the Director of Finance to strengthen internal financial processes and uphold the integrity of the organization’s financial operations. Responsibilities include preparing cash requests, Financial Status Reports (FSRs), credit card reconciliations, supporting month-end tasks, assisting with audits, compliance reviews, and reporting requirements. This role requires strong technical accounting skills, exceptional attention to detail, and a collaborative mindset to effectively support the finance team and organizational leadership.
Essential Functions:
Duties & Responsibilities:
Finance & Reporting
Code or review invoices and check register for proper coding and process them for payment
Assist with the monthly close process, including journal entries, allocations, and preparation of monthly financial statements.
Complete monthly credit card reconciliations and ensure compliance with organizational policies.
Reconcile all balance sheet and general ledger accounts; prepare and post necessary adjustments.
Support the Controller with month-end close activities to ensure accurate and timely financial reporting, including the preparation and submission of Financial Status Reports (FSRs) and cash requests to state and federal government
Prepare monthly cash requests and Financial Status Reports (FSRs) for Controller and Director of Finance review and submission to funding sources.
Provide direct support to the Director of Finance on fiscal audits, single audit, monitoring visits, and regulatory reporting requirements.
Prepare monthly and quarterly status reports required for grant reporting and compliance.
Assist with the monthly close process for property management and perform all accounting entries related to building and property operations
Maintain departmental financial systems; ensure accurate posting of transactions and data integrity.
Work with the Director of Finance to review and update fiscal policies and procedures as needed.
Prepare, analyze, and interpret financial reports for leadership, program managers, and external stakeholders.
Assist in preparing requests for proposals (RFPs) and invitations to bid; evaluate responses and provide recommendations.
Ensure the agency and its programs remain “audit-ready” through ongoing documentation, reconciliations, and compliance practices.
Manage financial contract work and other assignments as directed by Director of Finance
Perform additional accounting or administrative duties as assigned.
Qualifications:
Education & Experience
Associate’s degree in Accounting, Finance, or related field required; Bachelor’s degree preferred.
3–5 years of professional accounting experience required.
1–5 years Nonprofit fund accounting experience strongly preferred.
Property management accounting experience preferred.
Knowledge of allocations, reconciliations, accounts payable, accounts receivable, and grant compliance.
Proficiency with Microsoft Excel; experience with accounting systems or ERPs required (Sage Intacct or similar preferred).
