The Administrative Assistant is a skilled and professional communicator who manages and executes a variety of administrative tasks for both the Executive Director and the community. This position requires superior organization, coordination, and facilitation skills to ensure effective outcomes. They will exhibit strong communication skills, exceptional planning capabilities, and will be essential to ensuring administrative tasks are handled in a seamless fashion. The Administrative Assistant will have a highly professional, warm/personable style, which fosters trust and cooperation. Further, they will have a candid, concise, and open approach to daily interactions with all community team members and Home Office personnel.

Physical/Sensory Requirements
This position requires minimal lifting and sitting over 50% of the time.
Qualifications
- High school education required; college education preferred.
- Must be proficient in reading, writing, and speaking the English language.
- 2-3 years’ experience in an office environment preferred.
- Mastery of Microsoft office and other basic computer systems.
- Must be comfortable with a multi-line telephone system, answering, taking messages and transferring calls.
- Translate policies and procedures into understandable, professional format; distribute as needed.
- Ensure new welcome baskets are readily available for all new residents.
- Participate in quarterly phone blitz.
- Keep Manager on Duty Schedule current and updated.
- Complete First Impressions Checklist with the Maintenance Director and Sales Director monthly.
- Ensure new families are aware of the We Care Connect surveys and encourage them to be completed timely.
- Work with Director of Compliance to complete community renewal applications for licensure.
- Completes reports for the Executive Director as directed.
- Complete initial and renewal applications for permits.
- Complete initial and renewal applications for community insurance policies.
- Be knowledgeable about community services, rates, and policies.
- Reviewing department manager spend-downs for compliance to budget.
- Monitor for Paycom compliance (missed punches, timely punches, etc.)
- Spot check A/R monthly
- Other duties as assigned.
