Our growing Investment Operations Department is looking for an Associate Investment Operations Assistant to help us achieve our goals. This position will play a crucial role in supporting the operations of the firm's growing investment business, collaborating across departments to ensure a streamlined Advisor experience. Key areas of responsibility
- Support Financial Advisors and agency staff with investment-related business submissions and inquiries.
- Serve as a knowledgeable resource for product, platform, and process questions, providing timely and accurate responses.
- Research and resolve advisor and client inquiries related to investment accounts and documentation.
- Accurately enter application data, track cases, and ensure completion of all required documentation.
- Process incoming checks in accordance with compliance and operational guidelines, ensuring timely and accurate handling.
- Contact clients to obtain missing information, clarify discrepancies, or support application processing as needed.
- Maintain proficiency in key investment systems (e.g., A360, Envestnet, account opening platforms).
- Act as a liaison between Advisors and the Home Office to facilitate account completion and issue resolution.
- Monitor and follow up on outstanding or missing information to ensure timely processing.
- Deliver proactive communication and real-time updates on application and case statuses.
- Collaborate with team members to streamline processes and support departmental projects and initiatives.
- Participate in ongoing training and professional development activities.
- Assist with special projects and perform other duties as assigned.
Qualifications
- Associates or Bachelor’s degree
- Basic understanding of financial concepts
- Proficient with MS Office (Word, Excel, PowerPoint and Outlook)
- Excellent organizational skills and attention to detail
- Strong verbal, written, and interpersonal communication skills
- Ability to thrive in a fast-paced environment, manage multiple priorities, and adapt quickly to changing tasks
- Demonstrated ability to work collaboratively in a team setting with a positive and professional attitude
- 1 years of customer service experience
- 1 years of administrative experience
- 1 years financial services experience preferred
