About The Role
The Front Office Medical Receptionist is a key member of the patient services team, responsible for managing front desk operations and ensuring a positive, efficient experience for every patient. This role supports the day-to-day administrative functions of the orthopedic practice including appointment scheduling, insurance verification, chart preparation, and coordination of surgical and postoperative care logistics. The ideal candidate is professional, highly organized, and thrives in a fast-paced clinical environment.
Responsibilities
- Greet and assist patients and visitors in a courteous and professional manner
- Manage check-in and check-out procedures, including verifying patient information and obtaining required forms and signatures
- Manage multi-line phone systems: schedule appointments, answer questions, relay messages, and follow up on voicemails
- Assist with postoperative follow-up scheduling and communicate care instructions to patients
- Assist the in-house physical therapy team with appointment scheduling, patient check-in, and coordination of referrals or authorizations as needed (Only for Long Beach location)
- Verify insurance eligibility and benefits prior to visits or procedures
- Collect co-pays, deductibles, and outstanding balances; post payments accurately in the EHR
- Prepare and maintain patient charts in the electronic health record (EHR) system
- Scan and upload documentation, imaging, referrals, and preoperative testing results
- Ensure completeness of chart documentation prior to provider visits
- Perform general office tasks: filing, faxing, data entry, and supply restocking
- Maintain strict adherence to HIPAA regulations and patient privacy standards
- Support safe and confidential handling of all patient information and communications
Qualifications
- High school diploma or equivalent required
- Minimum 1 year of front office or medical receptionist experience; orthopedic or surgical specialty preferred
- Proficiency with electronic health record (EHR) systems; experience with EPIC a plus
- Knowledge of insurance plans, prior authorization processes, and billing workflows
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Ability to remain composed and customer-focused in a high-volume environment
