Position Summary:

Common Arts is seeking a detail-oriented and proactive Talent Acquisition Coordinator to support the day-to-day operations of our firmwide recruiting function. This role is essential in ensuring top-level experiences from both the candidate and hiring manager’s perspectives. The coordinator will work closely with our Talent Acquisition Specialist to keep the pipeline moving, the data clean, and the candidate experience strong within all workgroups and brands of the firm.

This position is eligible for hybrid/remote work.

Key Responsibilities:


Administrative

  • Support interview scheduling across workgroups, coordinating availability between candidates and hiring managers for phone, video, and on-site interviews.

ATS and Data Management

  • Maintain and update the applicant tracking system (ATS) to ensure candidate records, job statuses, and hiring manager notes are accurate and current.
  • Manage job postings across platforms including but not limited to, LinkedIn, Glassdoor, ZipRecruiter, Indeed, and industry-specific job boards.

Recruitment Operations

  • Support the Talent Acquisition lead with sourcing activities, resume screening, screening calls, and pipeline organization for active roles.

Process and Collaboration

  • Collaborate with Talent Acquisition Specialist to identify opportunities to improve recruiting workflows, reduce friction in the candidate experience, and increase efficiency across the hiring process
  • Maintain confidentiality and exercise discretion when handling sensitive candidate and employee information


Qualifications:

Required

  • 2 years of experience in recruiting coordination, or talent acquisition support role.
  • Demonstrated experience working within an applicant tracking system (ATS); familiarity with platforms such as ADP WorkforceNow, Teamtailor, Loxo, RecruitCRM or others.
  • Strong organizational skills with the ability to manage multiple open roles, candidates, and stakeholders simultaneously.
  • Excellent written and verbal communication skills; able to represent the firm professionally with candidates at all levels.
  • High attention to detail, accuracy in scheduling, candidate data, and documentation is essential.
  • Proficiency in Microsoft Office Suite and comfort learning new tools and platforms.
  • Collaborative mindset with the ability to work effectively across teams, studios, and workgroups in a fast-moving environment.
  • Ability to maintain discretion as needed. 

Preferred

  • Experience recruiting within an architecture, engineering, interior design, or related AEC (Architecture, Engineering & Construction) firm.
  • Familiarity with AEC firm structures, titles, and career progression.
  • Bachelor’s degree in human resources, business administration, communications, ora related field.
