Duties
- Greet visitors, clients, and staff with a warm, professional demeanor, ensuring a positive first impression
- Handle multi-line phone systems efficiently, directing calls accurately and courteously
- Manage appointment scheduling and calendar coordination using productivity software and Google Workspace tools
- Perform data entry tasks with precision, maintaining accurate records in spreadsheets and office management systems
- Support office operations through filing, document proofreading, and organizing correspondence
- Utilize computer skills to operate office equipment, manage client communication, and support administrative functions
- Assist with bookkeeping tasks such as invoicing or basic financial record keeping using QuickBooks or similar software
- Maintain a tidy reception area and ensure all office supplies are stocked and organized
Experience
- Prior clerical or administrative experience in an office environment is preferred
- Strong customer service background with excellent phone etiquette and client communication skills
- Proficiency in Microsoft Office (Word, Excel) and familiarity with productivity software such as Google Workspace
- Experience managing multi-line phone systems and handling complex scheduling or calendar management
- Demonstrated computer literacy with data entry, filing, proofreading, and document processing skills
- Bilingual abilities are highly valued to effectively communicate with diverse clients and team members
- Knowledge of office management practices including organization of spreadsheets, filing systems, and record keeping
- Experience in medical or dental receptionist roles or personal assistant positions is a plus
