Title: Maintenance Manager

Division: Property Management

Supervisor: Property Manager

Basic Function: Ensuring the properties are safe and always make a good impression on the tenants and customers. Work with your hands to resolve maintenance issues that occur at the properties. Manage third party vendors for both recurring maintenance and construction/repair projects.

Responsibilities and Duties include, but not limited to:

  • Always working to improve the condition of the properties and Commodore Realty’s position. We are always looking for you to i) identify a problem and figure out the best way to solve it, and ii) nip problems in the bud while they are small problems before they become big ones.
  • Using your hands and skills to repair maintenance issues yourself. You should spend at least seventy percent (70%) of each day fixing problems yourself. Hands-on work is optimal, but not limited to, when i) you will be able to more quickly and cost effectively deal with a problem rather than waiting for someone else, ii) you can use your skills to bring financial savings to the company, or iii) time is of the essence.

a. General maintenance may include, but is not limited to: general cleaning, patching walls (stucco & drywall), painting, carpentry, plumbing, electrical, installing signs, installing doors, change ceiling tiles, HVAC, replacing light bulbs, etc.

b. Pressure wash the sidewalks and other specified areas of each property every 6-8 weeks. Most properties are completed over the evening. Larger properties generally take 2 nights in a row. You take next day off.

a. Use large hot water pressure washer provided by CRI.

  • Supervising and setting the project list and schedule for our east coast Maintenance Tech(s) who will report directly to you. It is your responsibility to keep them working efficiently, completing the most important projects first and to make sure they are completing work in a first-class manner. Our east coast Maintenance Tech does not have a company credit card or Home Depot card therefore you must buy the supplies for the projects they are working on.

a. Inspect all work performed by our in-house Maintenance Techs and if completed

in a satisfactory manner, sign off on the work.

b. Purchasing supplies: thoroughly thinking through projects to make sure all supplies are purchased in 1 trip. Plan ahead to buy supplies for multiple projects at once to minimize trips. To stop a project in the middle, put everything away, go to buy additional supplies and reset up wastes between 1-2 hours each time and therefore must be avoided.

c. Complete a Special project budget for projects you anticipate completing in-house that will cost over $1,000. Upon completion of the project assemble the actual cost for the project, compare it to the budget, and submit your comparison to your Supervisor.

  • Supervising the work of our recurring 3rd party purveyors including the porters, landscapers, trash removal services, etc, at each property to ensure they are fulfilling their contractual responsibilities. Notify your supervisor of issues you observe.

a. Helping us establish procedures and policies for maintenance, landscaping and other recurring responsibilities to improve the condition of our properties.

  • Supervising the work of our on-call 3rd party purveyors and contactors and holding them accountable for their contractual responsibilities such as irrigation, roof repairs, asphalt repairs, electrical repairs, plumbing repairs, fire suppression/alarm repairs, etc. You must review all work performed and be satisfied with the outcome before payment is made to any purveyor. Notify your supervisor of issues you observe.

a. Monitor the completion of all work issued to purveyors to ensure that all work orders are completed in a professional and timely manner. Send in signed completed work orders to the corporate office.

  • Troubleshooting and helping to resolve problems by both working with contractors and purveyors in order to assess problems and implement solutions. Calling contractors from our preferred purveyor list and others whose skills are required in order to solve various problems. Although our preferred purveyor list should be your first reference you certainly will be encouraged to go outside the purveyor list to obtain competitive bids so we can constantly be improving our purveyor list by adding more competitive and more professional purveyors and contractors to our list.

As a general rule, we prefer to obtain competitive bids. On expenditures over $2,000.00, we require three (3) bids. For items over $50,000.00, we require five (5) bids. Needless to say, on items less than $2,000.00, we will leave the subject of bidding to your supervisor’s discretion depending on the urgency of the project.

  • Inspecting our properties both during daylight and night time hours. This is an ongoing and continuous responsibility in order to make sure that details are being looked at and things are in good order. The night inspections must be completed a minimum of once every four weeks to ensure common area lights are in good working order, to see if there is an excessive amount of loitering or vagrants that may create a security issue, all tenant signage is operational and there are no other issues at the properties.

a. Inspect each assigned shopping center on each visit.

b. Conduct safety and fire inspections to ensure all properties are in good condition to minimize risk of potential lawsuits.

c. Complete the company issued inspection reports for the common areas, the roof, parking lot, lights, landscaping, etc. on a minimum of a semi-annual basis.

  • Ensure the safety of the tenants and patrons visiting each shopping center by ensuring all maintenance issues are resolved quickly and efficiently by the guidelines set by Commodore Realty.
  • Work with the Property Management team to support them in: i) create specifications, plans and RFP’s, ii) obtain bids and iii) supervise construction projects and tenant build outs (both being completed by us or by tenants directly). It is of vital importance you have a complete understanding of the projects as well as the desired outcome before the projects commence so you can ensure the final product will meet or exceed company expectations.

a. Provide ongoing updates to your supervisor on tenant build outs, renovations and any other capital improvement projects.

  • Tenant relations including responding to tenant requests and complaints. Tenants are the lifeblood of our business and therefore we expect you to help us build and maintain good tenant relations while minimizing the amount of work you agree to complete for the tenants that is their responsibility under their Lease. Our leases with our tenants govern our relationship and therefore you must call the office and ask the Property Management team to review a lease for you prior to determining how to respond to a Tenant.
  • Tenant move-out procedures include inspection of tenant bays at the conclusion of their occupancy in order to assess the appropriate security deposit claim (security deposit claim letters must always be sent out within 15 days of a tenant’s move-out date), work with Property Management team to get approval to complete work to quickly bring vacancies in to show condition, and having the utilities turned back into the Landlord’s name.
  • Be our eyes and ears on the east coast. This includes, but is not limited to, notifying us of emergency maintenance items, notifying us if tenants move out of a space, advertise their business for sale, clipping articles which you think may be interesting to us, notifying us of new construction or remodels of competing properties, notifying us of new tenants moving into competing properties, and notifying us of properties for sale or changes in management signs on competing properties.
  • Preparing each shopping center for the upcoming hurricane season, as well as for each threatening storm, by implementing the procedures in place as well as by completing preventive maintenance.

Assisting your supervisor in preparation of our annual budget which must be completed by November 1 of each year. Discuss upcoming large repair, construction and capital improvement projects and providing input on a course of action, budget and timeline
