Job Summary
We are seeking an energetic and detail-oriented DOT Compliance Manager to directly supporting the Director of Safety and Compliance. Fleet Compliance is responsible for maintaining compliance with government regulations, and the handling and processing of confidential driver qualification documents. The DOT Compliance Administrator plays a critical role in supporting the organization's compliance with Department of Transportation (DOT), FMCSA and other federal and state transportation-related regulations. This position ensures accurate documentation, timely reporting, and effective coordination of compliance-related activities across the equipment fleet. The ideal candidate will be detail-oriented, organized, and capable of managing multiple administrative tasks while maintaining strict adherence to regulatory standards.
Responsibilities
- Maintain and update DOT driver qualification files.
- Monitor expiration dates for CDL licenses, medical cards, and other DOT-required certifications.
- Enter DOT drug and alcohol testing in required databases, including Federal clearinghouse, in accordance with DOT regulations.
- Accurately maintain driver files in Encompass.
- Assist with recruitment efforts to meet staffing demands.
- Ensure all compliance records are stored securely and are easily retrievable for audits.
- Report non-conformances to Trucking Manager, or other responsible parties, on a timely basis.
- Assist in onboarding new drivers and mobile equipment by collecting and verifying required documentation.
- Schedule meetings, maintain calendars, and support departmental communications.
- Identify opportunities to streamline compliance workflows and improve documentation accuracy.
- Collaborate with ownership including, but not limited to, HR, Safety, and Operations teams to ensure alignment with company policies and regulatory requirements.
- Additional duties and responsibilities as assigned, including but are not limited to continuously growing in alignment with the Company’s core values, competencies, and skills.
Skills
- Experience: Minimum 3-5 years of experience in transportation compliance management, preferably in trucking, logistics, or related transportation field with reliable transportation
- Education: Associates degree in Transportation Management, Business Administration, Legal Studies, or related field; equivalent combination of education and experience may be considered
- Regulatory Knowledge: Comprehensive understanding of DOT, FMCSA, OSHA, EPA, and other federal, state, and local transportation regulations
- Technical Proficiency: Experience with compliance management software, electronic logging devices (ELDs), transportation management systems, and data analysis tools

What You Will Bring to Our Firm
- Associate’s degree or an additional 1-2 years of relevant experience.
- 3-5 years of related fleet compliance administration experience within a similar sized company
- Understanding of federal and state regulatory guidelines, including FMCSA, DOT, and Occupational Safety and Health Administration.
- Proficient in MS Office (Outlook, Word, Excel, Teams, and PowerPoint), Adobe Acrobat, and SharePoint.
- Experience in creating and establishing policies and procedures.
Pay: $50,000.00 - $60,000.00 per year
