A big part of this job is learning those requirements, following them accurately and getting the paperwork done on time. - Set up and maintain organized digital filing systems, templates, trackers and workflows for our projects
- Use AI tools (such as ChatGPT, Claude or Microsoft Copilot) to draft correspondence, summarize documents and meetings, build spreadsheets and automate repetitive tasks
- Learn and follow FDOT and agency documentation requirements, specifications, standard procedures and submittal deadlines
- Prepare, review and submit required agency paperwork accurately and on time, and keep complete records to back it up

- Build and maintain Excel logs and reports for schedules, deadlines, quantities and costs
- Support billing, invoices, purchase orders and job cost tracking
- Coordinate with field supervisors, subcontractors, vendors, engineers and owners to keep information flowing
- Keep office records aligned with what's happening in the field
- Make sure deadlines and required documentation don't slip through the cracks
- Learn and help roll out new construction and accounting software
- Look for ways to improve how we work, then put them in place
What We're Looking For
- Strong computer skills and a track record of learning new software quickly
- Hands-on experience using AI tools, with real examples of how you've used them
- Ability to research a requirement, procedure or specification, understand it and follow it through to completion with minimal hand-holding
- Comfortable working within detailed rules, deadlines and documentation standards
- Strong Microsoft Excel, Word and Outlook skills
- Very organized and detail-oriented, with an eye for creating order out of chaos
- Basic understanding of invoices, budgets, POs or bookkeeping (we'll teach the construction side)
- Clear, professional written and verbal communication
- Able to juggle multiple priorities and deadlines
- Self-motivated, curious and comfortable working independently
Nice to Have (Not Required)
- Office admin, project coordination or operations experience in any industry
