Position Summary
We are seeking a detail-oriented and highly organized Service Coordinator to support daily operations by managing scheduling, work orders, and customer communication through the ServiceTrade platform. This role is critical in ensuring field technicians are efficiently dispatched, jobs are properly documented, and customers receive timely, high-quality service.
Key Responsibilities
Scheduling & Dispatch
- Schedule and dispatch technicians using ServiceTrade
- Optimize routes and workloads to maximize efficiency
- Adjust schedules in real time based on priorities and emergencies
Work Order Management
- Create, update, and track service requests and inspections
- Ensure all jobs are properly documented in ServiceTrade
- Verify completion notes, photos, and compliance requirements
Customer Communication
- Coordinate appointments with customers and property managers
- Provide updates on job status, scheduling, and follow-ups
- Handle inbound service requests and route appropriately
Invoicing & Documentation
- Review completed jobs for accuracy before invoicing
- Ensure all required documentation is attached (photos, reports, deficiencies)
- Assist with generating invoices and closing out work orders
System Management (ServiceTrade)
- Maintain accurate customer, asset, and service data
- Ensure technicians are properly using ServiceTrade in the field
- Identify and correct gaps in system usage or data entry
Coordination & Support
- Work closely with operations, sales, and field teams
- Track open work orders and ensure timely completion
- Support project coordination and service follow-ups
Qualifications
- Experience using ServiceTrade
- Strong organizational and multitasking skills
- Excellent communication skills (phone, email, internal coordination)
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with basic office tools (Google Sheets, email, etc.)
Preferred Experience
- Fire protection or service industry background
- Knowledge of inspections (sprinkler, alarm, extinguisher, backflow)
- Experience scheduling technicians and dispatching

Salary : $85,000 - $110,000
