We are looking for a dependable and detail-oriented Administrative Assistant to support daily office operations within our commercial and industrial construction company. This position plays a key role in keeping the office running smoothly by managing front desk responsibilities while also supporting project teams and leadership with a variety of administrative tasks. The ideal candidate is proactive, organized, and comfortable handling a mix of responsibilities throughout the day.
Responsibilities
· Greet and assist visitors, clients, and vendors in a professional manner
· Answer, screen, and direct incoming phone calls
· Handle incoming and outgoing mail, packages, and deliveries
· Maintain a clean and organized front desk and common office areas
· Provide administrative support to the project team and leadership
· Assist with document preparation, scanning, copying, filing, etc.
· Maintain organized digital filing system
· Assist with scheduling meetings and general office coordination
· Take meeting notes when needed
· Support overall office operations and assist with additional tasks as needed
Qualifications
· Prior front desk experience required
· Construction industry experience preferred but not required
· Excellent written and verbal communication skills
· Proficiency in Microsoft Word, Outlook, and Excel
· Professional and friendly demeanor
· Ability to prioritize and manage time effectively
· Comfortable working in a fast-paced environment
