For nearly six decades, Commack Volunteer Ambulance Corps has proudly provided emergency medical services to the residents and visitors of Commack and the surrounding communities. We are currently seeking a motivated, detail-oriented, and highly organized individual to join our team as a District Secretary.

Position Summary

The District Secretary serves an important role in supporting the daily administrative and financial operations of the organization. This position is responsible for a variety of clerical, bookkeeping, and administrative functions, helping to ensure the efficient management of records, financial transactions, organizational correspondence, and day-to-day office activities.

The successful candidate will possess strong organizational skills, excellent attention to detail, the ability to maintain confidentiality, and a commitment to providing professional customer service to employees, volunteers, vendors, and members of the public.

Essential Duties and Responsibilities
  • Maintain accurate administrative, personnel, and organizational records
  • Perform data entry and document management functions
  • Process accounts payable and accounts receivable transactions
  • Maintain bookkeeping and financial records utilizing QuickBooks
  • Prepare, track, and file purchase orders and related documentation
  • Assist with the administration of organizational fund drive activities
  • Manage confidential personnel, financial, and operational information
  • Provide administrative and clerical support to management and staff
  • Serve as a professional point of contact for employees, volunteers, vendors, contractors, and members of the public
  • Assist with special projects and other administrative assignments as needed
  • Support the overall operational and administrative needs of the organization
Minimum Qualifications
  • High School Diploma or GED
  • Proficiency with QuickBooks
  • Proficiency with Google Workspace
  • Proficiency with Microsoft Office applications
  • Strong organizational, administrative, and time-management skills
  • Strong computer, data-entry, and recordkeeping abilities
  • Ability to handle confidential information with discretion
  • Excellent verbal and written communication skills
  • Valid New York State Driver License
  • Successful completion of departmental drug screening
  • Successful completion of a background investigation
Preferred Qualifications
  • Prior experience in an administrative, clerical, bookkeeping, or office management role
  • Experience working within a nonprofit, municipal, healthcare, EMS, or public safety organization
  • Experience with financial recordkeeping, accounts payable, and accounts receivable processes
