Overview
We are seeking a dynamic and friendly Front Desk professional to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring smooth daily operations and exceptional customer service. Responsibilities

  • Greet visitors, clients, and staff with professionalism and enthusiasm, providing excellent customer service at all times
  • Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle incoming inquiries via phone, email, or in person, providing information or directing to appropriate personnel
  • Maintain organized filing systems, data entry records, and manage correspondence efficiently
  • Assist with office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
  • Support administrative duties including proofreading documents, managing office supplies, and supporting clerical tasks like photocopying and scanning
  • Ensure the reception area remains tidy and welcoming while managing multiple responsibilities with strong time management skills

Qualifications

  • Proven experience in office management or administrative support roles with clerical experience preferred
  • Strong computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Bilingual abilities are a plus to serve diverse clientele better
  • Demonstrated customer service skills with professional phone etiquette and interpersonal communication skills
  • Familiarity with office equipment such as multi-line phones, printers, and fax machines
  • Experience with data entry, filing systems, proofreading documents, and basic bookkeeping is highly desirable
  • Previous experience as a front desk receptionist or medical/dental receptionist is advantageous but not required
