Job Summary
We are seeking a dynamic and highly organized Office Manager to lead our administrative operations and ensure the smooth functioning of our office environment. This role is vital in coordinating daily activities, managing vendor relationships, overseeing administrative staff, and supporting overall office efficiency. The ideal candidate will bring energy, excellent communication skills, and a proactive approach to problem-solving, fostering a productive and welcoming workplace for all team members.

Responsibilities

  • Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for staff and executives.
  • Supervise administrative staff, providing training, guidance, and support to enhance team performance and development.
  • Manage vendor relationships by negotiating contracts, coordinating services, and ensuring timely delivery of supplies and equipment.
  • Coordinate event planning for meetings, company functions, and community outreach initiatives to promote engagement and team cohesion.
  • Handle bookkeeping tasks such as invoicing, expense tracking, payroll processing using QuickBooks, and maintaining accurate financial records.
  • Support human resources functions including onboarding new employees, maintaining personnel files, and assisting with employee relations.
  • Assist with budgeting processes by monitoring expenses, preparing reports, and ensuring cost-effective office management practices.

Requirements

  • Proven experience in office management or administrative roles with supervisory responsibilities.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Proficiency in QuickBooks for bookkeeping and payroll processing.
  • Excellent communication skills with professional phone etiquette and customer service orientation.
  • Experience in event planning, vendor management, and calendar management.
  • Knowledge of human resources procedures including onboarding, training & development initiatives.
  • Familiarity with medical office management or healthcare environment is a plus but not required.
  • Demonstrated ability to manage budgets, perform clerical tasks such as filing and record keeping, and oversee front desk operations. Join us to lead our office with enthusiasm!
