Responsibilities
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for staff and executives.
- Supervise administrative staff, providing training, guidance, and support to enhance team performance and development.
- Manage vendor relationships by negotiating contracts, coordinating services, and ensuring timely delivery of supplies and equipment.
- Coordinate event planning for meetings, company functions, and community outreach initiatives to promote engagement and team cohesion.
- Handle bookkeeping tasks such as invoicing, expense tracking, payroll processing using QuickBooks, and maintaining accurate financial records.
- Support human resources functions including onboarding new employees, maintaining personnel files, and assisting with employee relations.
- Assist with budgeting processes by monitoring expenses, preparing reports, and ensuring cost-effective office management practices.
Requirements
- Proven experience in office management or administrative roles with supervisory responsibilities.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Proficiency in QuickBooks for bookkeeping and payroll processing.
- Excellent communication skills with professional phone etiquette and customer service orientation.
- Experience in event planning, vendor management, and calendar management.
- Knowledge of human resources procedures including onboarding, training & development initiatives.
- Familiarity with medical office management or healthcare environment is a plus but not required.
