POSITION SUMMARY: The Administrative Assistant performs clerical duties for the program, processes child support payments with receipts, checks mail on a daily basis; provides initial contact to clients, and application intake and data input.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide clerical support for the Child Support Director.
- Greet the public, answer and respond to telephone calls.
- Distribute and receive program applications.
- Maintain weekly schedule for each CNCSP employee to ensure office coverage.
- Maintain supply room and ordering of supplies.
- Assists staff with equipment/building maintenance needs.
- Processes incoming/outgoing mail.
- Performs travel liaison duties including travel arrangements and reimbursements.
- Performs backup money-handling duties to process child support payments.
- Delivers checks to the headquarters finance department and picks up receipts from headquarters.
- Assist customers by providing them with departmental information.
- Direct customers to appropriate caseworker within the department.
- Assist and direct clients to other Comanche Nation programs or services.
- Support administration staff as needed during certain projects.
- Fill copier with paper and envelopes before each work day begins.
- Perform money handling duties to process child support payments.
- Other duties as assigned.
REPORTS TO: The Administrative Assistant reports directly to the Director. This position does not possess any supervisory authority.
PHYSICAL DEMANDS: Applicant must be able to carry 10 pounds or more for the boxes of copy paper are heavy.
WORK ENVIRONMENT: Applicant must be able to handle the face pace of the program, so being a great multi-tasker is vital.
Qualifications:QUALIFICATIONS:
- High School Diploma, GED or equivalent education required.
- Administrative Assistant/Clerical courses certification desired.
- One-year experience in office environment.
- Familiar and/or comfortable with personal computer and Microsoft Office programs.
- Must have a current, valid Oklahoma State Driver’s License and be insurable under the CN Motor Vehicle Policy.
- Must be willing to submit to and pass a pre-employment and random drug testing.
- Must be willing to submit to and pass a background investigation.
