Naturopathic Front Desk Receptionist

Duties

• Greet visitors and clients with professionalism and warmth, ensuring they feel valued from the moment they arrive
• Manage multi-line phone systems, directing calls efficiently and courteously while taking detailed messages when necessary
• Maintain organized front desk areas, including filing, data entry, and updating spreadsheets using productivity software such as Microsoft Office.
• Schedule appointments, manage calendars, and coordinate meetings.
• Handle incoming correspondence, emails, and inquiries with clear communication and prompt follow-up
• Support office management tasks such as bookkeeping using QuickBooks, processing invoices, and maintaining accurate records
• Assist with clerical duties including proofreading documents, preparing Word processing materials, and maintaining filing systems for easy retrieval
• Provide customer support by addressing inquiries professionally via phone or in person while practicing excellent phone etiquette and active listening skills
• Cleaning as needed to keep the office clean and tidy

Qualifications

• Proven experience in office reception roles with strong clerical skills
• Excellent computer literacy with proficiency in Microsoft Office (Word, Excel)
• Experience handling multi-line phone systems and demonstrating effective phone communication techniques
• Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
• Previous experience as a front desk or medical/dental receptionist is preferred but not required; relevant personal assistant experience is a plus
• Knowledge of bookkeeping software such as QuickBooks is advantageous
• Demonstrated professionalism with excellent customer service skills and proper phone etiquette
