Grants and Contracts Administrator

Columbus House opened its doors in 1982 to provide services for men and women at least 18 years of age. Our goals quickly broadened from the mere provision of food and shelter and simple survival, to understanding and working toward overcoming the problems which cause people to become homeless. 

Columbus House, along with its core of loyal supporters, friends, and volunteers, has remained committed to fulfilling its mission: "To serve people experiencing homelessness or at imminent risk by providing life-saving outreach, shelter and housing and by fostering their personal growth and independence. We advocate for and create affordable housing to end homelessness in our communities." 

Purpose

Under the direction of the Chief Development Officer, the Grants and Contracts Administrator is primarily responsible for identifying, researching, tracking, and writing proposals for new and existing public (federal/state/local government) and private (corporate, community, family and individual) grantors to support current and future Columbus House initiatives.

Duties And Responsibilities

  • Works closely with the CDO, CEO, and program staff to fully understand the function and needs of each program relative to a particular grant application.
  • Research new grant opportunities from government, corporate, foundation and private funding sources to fund Columbus House projects and programs.
  • Generates well-written, well-researched and well-documented grant proposals in accordance with grantor guidelines and requirements.
  • Coordinates and tracks grant activity across all agency departments (including those written by other staff) ensuring adherence to grantor guidelines and deadlines.
  • Manages and tracks all government and private grants/contracts.
  • Assists in collecting data, analyzing outcomes/measures and collaborates with Columbus House staff, where appropriate, to create reports for funders.
  • Maintains an up-to-date funding calendar to track deadlines and report due dates.
  • Updates CDO and Donor Stewardship and Annual Fund Manager regarding requirements for publicizing awards
  • Oversees and coordinates the on-boarding and off-boarding of new programs as they are awarded or as grant funding ends.
  • Manage, update, and retain all required MOUs to maintain in compliance with grants/contracts.
  • Updates and manages contracts and other documentation in Concord
  • Updates all grantor information in the Instrumental database and maintains an accurate grant tracking system.
  • Other activities as assigned by the Chief Development Officers
  • Some evening and weekend work may be required.

Qualifications

  • Bachelor’s Degree and three years of progressively responsible experience in researching and writing effective grant proposals with a proven track record of success.
  • Demonstrated commitment to ongoing professional development.
  • Excellent interpersonal, written, and verbal communication skills, as well as good judgment and a strong sense of discretion and confidentiality
  • Thorough knowledge of and ability to articulate complex financial information including agency budget and audited financial statements.
  • Must be able to clearly articulate the Columbus House mission and the wide range of programs offered to those experiencing homelessness.
  • Excellent relationship skills, ability to work with staff, managers, board members and other Columbus House stakeholders.
  • Strong hands-on knowledge of Microsoft Word, Excel, Outlook, and SharePoint
  • Full understanding of the agency’s financial goals and able to work collaboratively and independently with Columbus House staff to achieve those goals.
  • Deadline oriented self-starter capable of independently managing multiple assignments and priorities with strong attention to detail and consistency.
  • Strong organizational and outstanding collaborative skills and is familiar with on-line and standardized grant applications as well as the latest grant research tools.
  • Knowledge of Connecticut State Agencies and funders.
  • Experience with Government portals such as esnaps, grants.gov and others.
  • Valid Driver’s license with a good driving record

Supervised by: Chief Development Officer

Salary: $65,000- $67,000 plus excellent benefits

Schedule: Monday – Friday 9am-5pm with flexibility
