Patient Care Coordinator
Practice Type: Multi-Disciplinary Wellness Clinic (Physical Therapy, Chiropractic, Massage)
Position Type: Part Time ( Monday, Wednesday, and Thursday), 9:30am-6pm, Non-Exempt (W-2)
Reports To: Clinic Owner / Practice Director
Pay Range: $21.00 to $23.00 per hour
Position Overview
We are seeking a highly organized, detail-oriented Patient Care Coordinator to anchor our front-of-house operations.
In this role, you are not just managing a waiting room; you are managing the critical intersection of clinical workflow, medical documentation, and the health of our practice.
You will oversee complex multi-provider scheduling, execute precise health information documentation, and manage the insurance verification process to ensure seamless patient care and optimized revenue cycles.
Key Responsibilities
Patient Care Coordination & Workflow Scheduling
- Manage dynamic, multi-modality scheduling for physical therapists, chiropractors, and massage therapists to maximize clinic utilization.
- Direct the daily check-in, intake, and check-out workflows, providing a welcoming and professional patient experience.
- Proactively manage the waitlist and execute follow-up protocols to reduce appointment cancellations and patient drop-off rates.
Treatment Room and Patient Flow Support
- Maintain clean, organized, and fully stocked therapy treatment rooms to ensure a safe, efficient, and welcoming environment for patients and staff.
- Replenish supplies and linens, complete laundry duties to ensure an adequate supply of clean linens, organize equipment, and report maintenance or supply needs.
- Assist with rooming patients as needed by escorting them to treatment areas, preparing treatment rooms, and supporting efficient patient flow in accordance with clinic policies and infection control standards.
Health Information & Documentation Management
- Audit and maintain digital patient charts within our Electronic Health Record (EHR) system.
- Ensure strict adherence to HIPAA, federal, and state compliance laws regarding medical records and data protection.
- Coordinate the timely collection and filing of clinical intake forms, doctor referrals, and diagnostic imaging reports.
Required Qualifications
- Experience: Minimum of 2 years of experience in medical administrative operations or medical billing (prior experience in PT or chiropractic clinics is highly preferred).
- Technical Skills: Proficiency with specialized EHR/Practice Management software and clearinghouses.
- Knowledge: Solid foundation in medical terminology, insurance claim forms (CMS-1500), and CPT/ICD-10 coding workflows.
- Attributes: Exceptional verbal communication, analytical problem-solving skills, and a high degree of empathy.
