Position Description
The Rail Freight Administrator supports the Domestic Freight Supervisor through a series of daily, weekly and monthly tasks related to freight accruals, processing of freight invoices and analysis of potential demurrage claims, along with processing rail shipment documentation. The Rail Freight Administrator is a point of contact for internal and external customers, providing shipment information to accounting, bills of lading, freight invoices and secondary market trades. The Rail Freight Administrator will work with the other members of the Freight team to achieve operational goals while maintaining quality and efficiencies.
Primary Duties and Responsibilities
- Collecting documentation from the origin for each rail shipment from the previous day and communicating to customers.
- Checking freight rates for each rail shipment and disputing any erroneous charges.
- Coordinating with corporate A/P and A/R shared services as needed.
- Archiving all documentation per shipment into the company ERP.
- Creating commodity movement orders in the company ERP to forward onto Great Falls Accounting.
- Being the point of contact for internal and external customers who have any additional documentation/accounting needs.
- Coordinating payment of rail freight invoices and reconciling in the company ERP.
- Assisting in organizing payment of secondary freight/miscellaneous invoices.
- Overseeing rail incentive submissions/payments.
- Submitting railroad rebates.
- Providing backup documentation for auditing purposes.
- Tracing and billing railcars.
- Overseeing inbound railcar logistics.
- Other duties assigned.
Skills, Knowledge, Education and Experience
- Three (3) years of administrative or related experience and training.
- Highly organized with the ability to prioritize and manage multiple projects and assignments with deadlines.
- Excellent communication skills and the ability to interact with all levels within the company, and with vendors and customers (orally and in writing).
- Ability to write routine reports and correspondence.
- Strong conceptual and problem-solving skills to evaluate problems and apply knowledge to identify appropriate solutions; ability to resolve issues effectively and efficiently.
- Proficiency in Microsoft Office Suite products.
- Accurate with numbers, calculations, etc.
- Ability to be flexible and adaptive to successfully achieve the function of the position.
- Good work ethic (team environment, both safe and quality), efficient and willingness to perform all required work with good attendance.
- Ability to work all necessary hours, including off-site as necessary on nights, weekends, and holidays.
