The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

This is a temporary one year, full time position with the possibility of extension.

Reporting to the Divisional Chair, the Program Coordinator serves as a trusted partner providing comprehensive operational support and daily management for the academic and project-based needs of a Faculty Chair. This role is uniquely focused to provide both professional precision and care - someone who is equally comfortable managing complex schedules, transcribing and editing research, and supporting the accessibility needs of a visually impaired Faculty Chair, ensuring the smooth execution of her professional activities. Key responsibilities include acting as a guide within the working environment, serving as the primary point of communications contact, and converting research and course materials into accessible formats. The Program Coordinator works both independently and collaboratively with faculty, staff, and students to support the Chair’s scholarly mission and projects.

Responsibilities

Administrative and Operational Support

  • Manages all administrative needs for the Chair, including serving as the primary point of communications contact for all high-level inquiries via email and phone.
  • Maintains the Chair’s daily schedule and calendar, and prepares detailed travel itineraries.
  • Acts as a guide for the Chair while in the working environment, facilitating all necessary interaction and communication.
  • Receives, reviews, and makes appropriate disposition of correspondence, using independent judgment and initiative.
  • Coordinates high-level meetings, domestic and international events, and conference calls on behalf of the Chair.
  • Performs related duties as needed to support the daily management and operation of the Chair’s administrative needs.

Research and Content Support

  • Provides skilled transcriptions, editing, and formatting support for the Chair’s research and writing projects, including active book and textbook development.
  • Conducts comprehensive library and electronic research related to the Chair’s academic and research projects.
  • Reads research-related materials aloud, converts materials into accessible text formats, and organizes them for the Chair’s use.

Academic and Classroom Coordination

  • Manages the academic activities of the Chair, including coordinating with administrative assistants on the preparation of course materials.
  • Oversees classroom setup by reading course materials aloud and providing information on the board or overhead, as needed.
  • Maintains project folders and manages contact lists to support academic objectives.
  • Takes dictation to write, edit, format, and proofread high-level correspondence and manages all materials for lecture-related presentations.
  • Performs related duties as needed to support the daily management and operation of the Chair’s academic needs.

Financial Operations Support

  • Collaborates with the Financial Planning Office and the Chair to process and oversee specific aspects of the Chair’s expense budget.
  • Prepares, tracks, and maintains all related financial records, in accordance with institutional guidelines.

Minimum Qualifications

  • Bachelor’s degree and/or equivalent related experience required. 0-2 years related experience required.
  • Excellent oral, interpersonal, writing and presentation skills required.
  • Demonstrated proficiency with MS Office and Google Suite required.
  • Knowledge of Morningside Heights campus and surrounding neighborhoods required.
  • Ability to travel as needed; some evening and weekend work required.
  • Some evening and weekend work required.

Preferred Qualifications

  • Experience supporting academic leaders or senior executives in a fast-paced environment.
  • Familiarity with academic publications, research processes, higher education.
  • Experience working with or providing support to individuals with disabilities.
  • Interest in innovation and business is preferred.
