We are looking for an experienced, highly organized Practice Administrator who enjoys building efficient systems, managing staff, and working closely with the physician owner to grow a high-quality specialty practice. This role is ideal for someone who loves solving operational problems, working with numbers, and creating a great environment for both patients and staff.
You will have significant responsibility and autonomy in helping shape the future of the practice.
Salary: $90,000 to $125,000 per year depending on experience
About the Role
We are an established neurology practice with an in-office infusion center seeking an experienced, highly organized Practice Manager to oversee the operational, financial, and administrative functions of the practice.
This is a hands-on leadership role responsible for ensuring the smooth daily operation of both the clinic and infusion center. The ideal candidate is comfortable working with numbers, spreadsheets, staff management, insurance issues, and operational problem solving.
You will serve as the operational backbone of the practice so the physician can focus on patient care and strategic decisions.
Key Responsibilities:
Practice Operations
Oversee day-to-day operations of the neurology practice and infusion center
Run regular staff meetings and maintain efficient clinic workflows
Manage staff schedules, PTO, vacation coverage, and staffing needs
Maintain a positive and professional work environment
Address employee concerns and performance issues
Plan team morale events and staff engagement activities
Coordinate onboarding for new employees including technology access and training
Financial Management
Run payroll and retirement contributions
Oversee accounts payable including vendor invoices and rent
Monitor financial reports and P&L statements
Track infusion drug costs and reimbursement
Review infusion revenue reports and flag underpayments
Work with billing team to review unpaid claims older than 90 days
Assist with end-of-year financial preparation and tax documentation
Ensure vendor payments are completed on time
Infusion Center Operations
Oversee ordering of infusion medications and medical supplies
Manage drug inventory and purchasing from distributors
Monitor refrigerator temperature logs and compliance documentation
Track infusion reimbursement and drug margin reporting
Coordinate with infusion nurses on inventory and operational needs
Participate in quarterly meetings with pharmaceutical representatives regarding rebates and reimbursement programs
Staffing and Human Resources
Lead recruiting, interviewing, and hiring efforts
Maintain job postings and candidate pipelines
Manage onboarding and training for new hires
Handle performance reviews, improvement plans, and disciplinary actions when necessary
Foster a professional, supportive team culture
Insurance, Credentialing, and Contracting
Manage physician credentialing with insurance companies
Assist with expanding participation with additional insurance networks
Help evaluate and renegotiate insurance contracts when appropriate
Work with billing team on reimbursement issues
Serve as a resource for staff and patients when insurance problems arise
Marketing and Referral Development
Build relationships with neurologists and referring physicians in the community
Organize visits and tours of the new infusion facility
Help maintain referral relationships
Coordinate occasional patient newsletters or practice updates
Assist with strategic outreach to grow the infusion program
Compliance and Administration
Maintain HIPAA and OSHA compliance programs
Ensure policies and procedures are up to date
Prepare documentation for regulatory audits if needed
Maintain organized documentation and records
Monitor operational processes and suggest improvements

Preferred Experience

Experience supervising multiple employees
Familiarity with medical billing and insurance reimbursement
Basic accounting or financial management experience
Inventory management experience
Experience with healthcare compliance (HIPAA, OSHA)
