Position Summary:
The Intake Specialist plays a crucial role as the main point of contact for applicants seeking CLS’s services. This role involves receiving and processing phone and in-person applications, providing helpful referrals to other resources, and performing essential office tasks like work processing, filing, and ordering supplies. This is a 2-year, grant-funded postion.
Essential Duties:
- Answering applicant calls and taking applications as needed.
- Completing online applications accurately and efficiently.
- Greeting each walk-in applicant courteously, assessing their legal service needs, and providing program eligibility and referral information when appropriate.
- Referring persons who cannot be served by the office to other resources.
- Participating in training activities as required.
- Handling postage and mailing tasks when necessary.
- Assisting with trust account paperwork and monthly account reconciliation.
- Opening client files and keeping them organized.
- Performing word processing and copying tasks as needed.
- Maintaining the office filing system and ensuring files are properly labeled and stored.
- Ordering office supplies and keeping inventory.
- Establishing and maintaining effective working relationships with co-workers,
- Assistance with other support staff tasks in emergencies.
Required Qualifications:
- A high school diploma or GED equivalent
- Experience with Microsoft Word or an equivalent
- Knowledge of spreadsheet, email, and database software
- Multitasking ability to move quickly from one task to another
- Strong written and oral communication skills
- Organizational skills
- Customer service skills to make clients feel welcome
- High-level listening skills to gain a thorough understanding of clients’ needs
Preferred Qualifications:
- Bilingual Spanish speaker
- Demonstrated interviewing skills to know which questions to ask to gather more information
- Demonstrated understanding and/or experience empathizing with issues faced by marginalized population.
Compensation and Benefits:
We offer a generous plan that includes 100% employer paid premiums for employee health, dental, vision, life, and long-term disability insurance, as well as partial employer paid premiums for spouses/dependents, based on a sliding scale. We also offer Dependent Care and Medical Flexible spending accounts, and an Employee Assistance Program (EAP). CLS contributes $200/month to each employee's 403(b) retirement account and matches 100% of employee contributions up to 3% of employee salary; vesting occurs gradually will full vesting after 3 years of employment. Additionally, CLS offers generous paid time-off and 13 paid holidays per year.
