Job Overview
We are seeking a highly organized and detail-oriented Medical Receptionist to join our healthcare team. The ideal candidate will serve as the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role requires familiarity with Electronic Health Record (EHR) system, medical billing, and coding procedures, ensuring smooth clinic operations and compliance with healthcare regulations such as HIPAA. Bilingual skills and previous clinic or dental office experience are highly valued to enhance patient interactions and support diverse patient populations.
Duties
- Greet patients warmly and manage multi-line phone systems with professionalism and courteous phone etiquette
- Schedule patient appointments using EMR systems such as CounselEar, EPIC, NH, TruHearing, and Amplifon
- Verify insurance coverage and perform insurance verification procedures accurately
- Collect payments and process medical collections in accordance with billing protocols
- Maintain accurate medical records, including documentation review and data entry using office management software.
- Assist with patient intake, medical scheduling, and updating care plans in compliance with HIPAA regulations
- Handle filing, document management, and maintain organized paper and electronic medical records
- Support front desk operations by managing patient check-in/check-out processes and ensuring smooth clinic flow
- Perform administrative support tasks including reviewing AR reports, managing office supplies, and supporting office management functions
- Ensure compliance with HIPAA standards during all documentation and communication activities
Experience
- Prior experience in a medical or dental office setting is preferred, including clinic experience and/or medical clinic experience
- Familiarity with EMR/EHR systems such as CounselEar, NH, Amplifon, or EPIC Hearing is highly desirable
- Some knowledge of medical coding including CPT, ICD-9, ICD-10 coding for billing purposes
- Experience with insurance verification processes and Medicare/Medicaid billing procedures
- Strong understanding of medical terminology and health information management practices
- Excellent computer skills including proficiency in Microsoft Office (Word, Excel), typing (10 key typing), and familiarity with multi-line phone systems
- Bilingual abilities are a plus to effectively communicate with diverse patient populations
- Demonstrated customer service skills with a focus on patient service excellence and professional office support
