Position Summary
The Receptionist / Patient Care Coordinator is the first point of contact for patients in our direct care podiatry clinic. This role is responsible for delivering a warm, organized, and professional patient experience while supporting daily clinic operations for two podiatrists. The ideal candidate is a detail-oriented multi-tasker, personable, and comfortable in a fast-paced, patient-centered environment.
Key Responsibilities
- Greet patients warmly in person and by phone; ensure a welcoming, calm clinic environment
- Manage appointment scheduling, confirmations, and cancellations for two providers
- Check patients in and out efficiently and accurately
- Collect payments and explain direct care pricing, memberships, and services clearly
- Address patient questions and route clinical concerns appropriately
- Maintaining overall office appearance and cleanliness.
Administrative & Clinic Support
- Maintain accurate patient records in the electronic medical record (EMR) system
- Handle intake forms, consent documents, prescription orders and basic data entry
- Coordinate patient flow between rooms and providers to support on-time schedules
- Manage incoming calls, voicemails, emails, and all other communications
- Assist with billing and receipts
Clinic Operations
- Keep front desk, lobby, and patient-facing areas organized, clean and stocked
- Support basic inventory tracking for supplies as needed
- Follow HIPAA and clinic privacy standards at all times
- Communicate effectively with providers and clinical staff to ensure smooth daily operations
Qualifications
- High school diploma or equivalent required; associate degree preferred
- 3 years of receptionist, medical office, or customer service experience preferred
- Experience in a healthcare or direct care setting a plus
- Strong interpersonal and communication skills
- Excellent organizational skills and attention to detail
- Comfortable handling payments and discussing service pricing
- Proficient with computers, scheduling software, and basic office technology
- Self-Starter
