Position Summary

The Receptionist / Patient Care Coordinator is the first point of contact for patients in our direct care podiatry clinic. This role is responsible for delivering a warm, organized, and professional patient experience while supporting daily clinic operations for two podiatrists. The ideal candidate is a detail-oriented multi-tasker, personable, and comfortable in a fast-paced, patient-centered environment.

Key Responsibilities

  • Greet patients warmly in person and by phone; ensure a welcoming, calm clinic environment
  • Manage appointment scheduling, confirmations, and cancellations for two providers
  • Check patients in and out efficiently and accurately
  • Collect payments and explain direct care pricing, memberships, and services clearly
  • Address patient questions and route clinical concerns appropriately
  • Maintaining overall office appearance and cleanliness.

Administrative & Clinic Support

  • Maintain accurate patient records in the electronic medical record (EMR) system
  • Handle intake forms, consent documents, prescription orders and basic data entry
  • Coordinate patient flow between rooms and providers to support on-time schedules
  • Manage incoming calls, voicemails, emails, and all other communications
  • Assist with billing and receipts

Clinic Operations

  • Keep front desk, lobby, and patient-facing areas organized, clean and stocked
  • Support basic inventory tracking for supplies as needed
  • Follow HIPAA and clinic privacy standards at all times
  • Communicate effectively with providers and clinical staff to ensure smooth daily operations

Qualifications

  • High school diploma or equivalent required; associate degree preferred
  • 3 years of receptionist, medical office, or customer service experience preferred
  • Experience in a healthcare or direct care setting a plus
  • Strong interpersonal and communication skills
  • Excellent organizational skills and attention to detail
  • Comfortable handling payments and discussing service pricing
  • Proficient with computers, scheduling software, and basic office technology
  • Self-Starter
