GENERAL PURPOSE
The Office Coordinator will provide administrative and office management support for the credit union and the Executive Management Team. They will greet and direct guests, with enthusiasm, to the appropriate personnel. The Office Coordinator performs a variety of duties, including , responding to facility requests, conference room calendar management, office supply management, and miscellaneous administrative support.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Team Collaboration: Work collaboratively with other team members to support office projects and initiatives.
- Provide receptionist services at Colorado Credit Union’s Corporate Headquarters.
- Responsible for the corporate mail distribution and processing, including the administration of the express shipment process and inter branch courier service.
- Responsible for updating the expense software system, including adding and removing employees from the platform.
- Receives and distributes judgements, subpoenas, and bankruptcy notices to the appropriate department.
- Provide confidential administrative support for the Executive Management Team, including , expense reports and conference registrations. Provide administrative support for meetings as requested.
- Provide support in creating, maintaining, and posting of department procedures to CCU’s Knowledge Base.
- Management of office supplies, equipment, and inventory control.
- Act as the first point of contact for issues with facilities and landscaping, including being the primary contact with CCU’s janitorial company.
- Schedule maintenance, landscaping, and janitorial appointments as needed and assist with facilities management tracking system.
- Responsible for the corporate office facility key distribution and management.
- Assist with the annual third-party vendor due diligence process.
- Assist with the third-party bid process for maintenance repairs and equipment.
- First point of contact for scheduling CCU’s community room and other shared spaces for use both internally and for the community, including conflict resolution.
- Maintain and organize office files, records, and documents, ensuring they are easily accessible and up to date.Remain in compliance with all company, state and federal rules and regulations.
- Adhere to all service standards as outlined in the Credit Union’s policies and procedures.
- Perform special projects and other duties as needed or requested.

EDUCATION OR FORMAL TRAINING
High school diploma or GED. Associate degree or equivalent training preferred.
EXPERIENCE
Two to three years of similar or related office management experience preferred. One to two years of working in a professional environment is required.
