Patient Care & Financial Coordinator for Collindale Dental

About the Role

We are a locally owned, patient-focused dental practice seeking a warm and detail-oriented Patient Care & Financial Coordinator. You’ll be the face of our practice—helping patients feel informed and supported while keeping the financial side of their care running smoothly.

Key Responsibilities

  • Greet patients and serve as their primary point of contact; assist with scheduling and confirmations
  • Review treatment at checkout; explain fees, insurance estimates, and payment options clearly
  • Collect payments and post accurately in Open Dental; manage and reconcile daily deposits
  • Coordinate with insurance billing partners; reconcile EFT deposits and audit accounts receivable
  • Perform monthly audits resolving any prepayments, unallocated payments, etc.
  • Maintain accurate patient records (EHR); manage calls, correspondence, and referral coordination
  • Oversee Membership Plans including reporting, auto-renewals, etc.
  • Ensure HIPAA compliance and maintain organized documentation at all times

Qualifications

Required

  • Organized, detail-oriented, and accountable with strong follow-through
  • Confident and compassionate discussing finances, copays, and payment options with patients
  • Strong communication and customer service skills; comfortable in a fast-paced environment
  • Comfortable handling money, balancing deposits, and basic financial reconciliation
  • Positive, team-oriented attitude and commitment to patient confidentiality (HIPAA)

Preferred

  • Dental or medical office experience and familiarity with dental insurance/billing
  • Experience with Open Dental, Dental Intel, Microsoft Office, Google Workspace, or Slack
  • Quick learner who adapts easily to new software and technology

Physical Requirements & Work Environment

This role requires the ability to sit and stand for extended periods, use a computer and phone for prolonged periods, perform repetitive hand/wrist motions (typing, data entry), occasionally lift up to 20 lbs, and move throughout the office as needed. Pay: $20.44 - $26.13 per hour
