Job Summary:
This position will support the property management department's initiatives by performing various administrative and supportive functions for the property management team.
Essential Job Duties:
· Abstract leases
· Prepare and distribute “Tenant Welcome” packages
· Prepare and maintain property and tenant files, including property binders, Certificates of Insurance, W-9s, contracts, etc. Organize signage installation and removal at all properties
· Maintain percentage rent file
· Maintain tenant insurance file
· Maintain stacking plans
· Scan, mail, distribute, and file monthly operating reports
· Miscellaneous typing and preparation of tenant merge letters, as well as various letters and documents as requested by the Property Manager
· Prepare labels, envelopes, certified mail, and overnight packaging
· Proposal preparation
· Miscellaneous tenant and owner communication
· Miscellaneous vendor communication, coordination, and guidance
· Administer window and carpet cleaning programs at properties
· Coordinate and plan tenant appreciation events
· Work order system support for the Client Services Coordinator
· Any other administrative support – misc. departmental correspondence, typing, mailing, filing, reporting, etc.
· Prepare for and attend meetings with Property Managers, including maintaining the agenda, action items, and minutes. Ensure processes and procedures discussed in meetings are documented and implemented.
· Assist Property Managers with MRI, including budget information and entry, and pulling reports
· Track tenant rent payments in MRI
· Place billing calls to tenants for rent payments, and prepare reports on call and email results for the Property Manager and owner.

Skills, Education, and Experience:
· High School diploma required; college degree preferred.
· Knowledge of commercial real estate and experience in commercial real estate is a plus.
· Must be skilled with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
· Property management software (MRI) knowledge is a plus.
· Ability to understand and apply basic math skills.
· Ability to make competent use of work-related equipment and materials.
· Ability to remember information (e.g., policies and procedures) or locate resources to find information as needed.
· Ability to communicate effectively and tactfully with others.
· Ability to work with other team members as well as independently.
· Ability to shift back and forth between two or more tasks.
· Cooperative, team-oriented, patient, calm under pressure.
· Ability to arrange things in a certain order (e.g., alphabetically, numerically).
· Ability to produce results within an autonomous environment, within company guidelines, and have the flexibility to identify and respond to changes in priorities.
