JOB PURPOSE
Under limited supervision, performs varied and complex administrative and secretarial work requiring knowledge of practices and procedures of the District in order to effectively support the Department of Buildings and Grounds. Communicates with support staff and the general public. Reports to the Director of Buildings and Grounds.
ESSENTIAL JOB FUNCTIONS
Provides direct professional and administrative support to the Director of Buildings and Grounds.
Orders and manages inventory of supplies and equipment; prepares and/or reviews warehouse requisitions; receives and issues goods to appropriate personnel.
Prepares and processes invoices for payment; maintains accurate records of expenditures and balances; assists in gathering information for department budget preparation; tracks department budgets and special revenue funds; maintains accurate and up-to-date financial records and reports as required.
Collects overtime sheets weekly, compiles information on district overtime form, obtains signature from Director of Buildings and Grounds, prints timesheet for backup, and delivers to District Office for Superintendent approval.
Compiles information need to be solicited for bid, sends advertisement to SCBO, attends pre-bid meetings, sends answers to questions to vendors, provides addendums when needed, and attends bid openings.
Offers support to head custodians and coordinates meetings throughout the year.
Coordinates carpet cleaning schedules and fire extinguisher inspections for all locations.
During the summer, provides support to custodians, contacts Kelly Services when needed, approves custodial substitute timesheets, and monitors leave daily.
Compiles annual energy report based on information obtained from Utility Direct and submits to the Energy Office.
Changes lighting and HVAC schedules when needed for athletic events, after school events, etc.; coordinates events with schools and makes changes to schedules accordingly, monitors schools throughout the day and contacts HVAC technician of any problems, adjusts set points when needed, notifies appropriate personnel of any problems.
Changes lighting schedule for outdoor activities at schools.
Interacts and communicates with various groups and individuals such as the immediate supervisor, facility supervisors, principals, other District / school administrators and staff, vendors and service providers, and the general public.
Attends training, seminars and workshops, etc., as necessary to maintain and enhance job knowledge and skills.
Performs routine clerical tasks as required, including but not limited to preparing reports and memos, maintaining lists and logs, copying and filing documents, answering the telephone, entering and retrieving computer data, etc.
Operates a variety of equipment such as a computer, printer, copier, calculator, telephone, fax machine, etc.; uses clerical, copier, computer supplies.
Performs related duties as required.
QUALIFICATIONS
Requires an Associate’s degree, vocational technical degree or specialized training that is equivalent to satisfactory completion of two years of college education with emphasis in secretarial science or related field, supplemented by one to two years of responsible secretarial experience, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities. Must be able to type with speed and accuracy. Must possess a valid state driver’s license.
