Collegiate School seeks an Administrative Program Coordinator for the Powell Institute for Responsible  Citizenship (PIRC). As an integral member of the PIRC team, the Administrative Program Coordinator will work closely with team members and other members of the Collegiate School community to strengthen the efforts of the Powell Institute for Responsible Citizenship in connecting Collegiate to the people and places of Richmond and the world. This person will be responsible for providing administrative support for all aspects of programming related to the Institute, including but not limited to arrangements for PIRC overnight travel programs, partner database management, and logistics for events and programs. This is a part-time (approximately 24 hours/week), 10-month, non-benefitted position reporting directly to the Director of the Powell Institute for Responsible Citizenship.

General Responsibilities: 

  • Support the Director of Global Engagement by handling logistics related to overnight travel programs and international partner school teacher and student exchanges, including but not limited to documentation, reservations, communication, liaising with the business office, doublechecking for accuracy and document completion, etc. 
  • Provide logistical support for PIRC team member-led programming and events, including but not limited to inventory management, budget support, transportation and catering reservations, printing, gifts and honorarium processing, and facilities requests. 
  • Serve as an ambassador for Collegiate and PIRC through welcoming guests to campus and, on occasion, building relationships in the Richmond community via designated community events.
  • Provide logistical support for the 4th, 8th, and 12th grade capstone programs such as the School’s annual International Emerging Leaders Conference (IELC).
  • Manage and update the School’s community and global partner database, including but not limited to updating information with partners, working with faculty and staff on updating and utilizing the database, and liaising with the development office for partnership approvals.
  • Provide administrative support to the Director of the Powell Institute for Responsible Citizenship  and the PIRC team in furthering the work of PIRC.
  • Develop communications pieces that share the work of PIRC, including but not limited to impact reports, bulletin boards, etc. 
  • Be willing to serve as a notary for the school community (training will be provided). 
  • Be willing to serve as a driver of the Collegiate minibus for Richmond-area programming (training will be provided).

  • Strong oral and written communication skills
  • Self-starter with the ability to work independently
  • Experience in project management
  • Consistent at meeting deadlines, using time effectively, and handling multiple assignments simultaneously
  • Has a fine attention to detail
  • Demonstrated technology skills, preferably including Google Workspace (Calendar, Gmail, Docs, Sheets, etc.)
  • Ability to work flexible extended hours during peak program times (selected nights and weekends)
  • Growth mindset–is receptive to giving and receiving constructive feedback
  • Contributes positively to group morale and enjoys being a part of a collaborative team
  • Interested in working with youth in an educational environment 
  • Able to maintain confidentiality at all times
