Position Description
Under the supervision of the Associate Vice President of Instruction and in daily coordination with the Director, Enrollment Support, performs and coordinates specialized data entry and other database functions relating to Instruction Office functions. Performs other related duties as assigned.

Two (2) years of full-time experience working in community colleges, universities, high schools, community agencies, or similar work involving programs or activities to assist the public, or comparable experience in position(s) which include specialized clerical duties, database entry and query, use of MS Word and Excel and interaction with the public.
Education
Education equivalent to an Associate's degree (60 semester units). Two years of direct experience may be substituted for each one year (30 units) of college.
Desirable Qualifications
Experience with enterprise-wide software, preferably Colleague. Experience working with instructors, scheduling of classes, and supporting an instructional program.
Physical Characteristics
Position is a stationary position and requires use of a computer for extended periods of time plus frequent periods of movement from one area to another, which may include traversing to different floors of a building; operating a computer and related equipment; communicating and providing information to others; working with various materials and objects; frequently exert 10 to 20 pounds of force to move objects; may be exposed to occasional contact with dissatisfied individuals; and travel from site-to-site. In the event of an emergency, employees will be relied upon to serve as emergency workers.

- Coordinates and ensures accuracy of course scheduling data into District's information management system (Colleague), including but not limited to section building, section cancellations, faculty assignments, correcting, and updating detailed scheduling information.
- Coordinates with the initial setup, data entry, and data review for software systems related to statewide initiatives supported by the Instruction Office.Â
- Builds new course sections in response to course changes or as required due to statewide initiatives.Â
- Oversees daily requests for room bookings. Assists in communicating critical information to faculty regarding availability of classrooms at all District locations. Processes requests by researching availability, securing appropriate spaces, and coordinating with the Civic Center and other departments as needed.
- Manages complex data input for all relevant department functions; including information that may be of a privileged or sensitive nature. Performs other computer-input tasks related to the operation of the department.
- Maintains various records, prepares and modifies reports, and executes queries as needed. Process Set-up reports, Full-time Load reports, and Adjunct and Non-Credit Pay reports as assigned. Facilitate disseminating reports to Budget Development and Payroll.
- Prepares and distributes Instruction Office communications, correspondence, and reports, including mail merge functions. Develops timely and comprehensive reports, analyses, and presentations in narrative, tabular, and graphical form to support departmental scheduling, planning, program development, and decision-making.Â
- Coordinates generation, distribution, tracking, and renewal of faculty contracts each semester in collaboration with the Instructional Support Analyst. Maintains contract status databases, ensures timely collection of signatures, monitors compliance with contract deadlines, and provides audit-ready documentation. Communicates schedule changes to students promptly through multiple channels (electronic, written, and verbal) and coordinates with faculty and departments to ensure accurate, consistent, and timely messaging.
- Serves as a liaison with other campus offices and departments, coordinating information flow, troubleshooting issues, and ensuring effective communication.
- Supports departmental budget tracking and reporting by monitoring expenses, preparing purchase requisitions, and providing accurate data for budget development.
- Participates in college committees and professional meetings to increase operational effectiveness and represent the Instruction Office as assigned.
- Prepares agendas, summaries, and supporting materials for departmental meetings; compiles and presents information clearly in multiple formats.
- Enters and updates textbook cost (XB12) coding for sections; follows up with faculty as needed.Â
