Enrichment and Arts Coordinator

Provides creative vision and development of community enrichment programs for the College of Southern Idaho with the primary focus on the Arts on Tour performing arts series. Curates and manages the Arts on Tour series and (when applicable) its associated K-12 outreach programs, as well as other ticketed Box Office events. Works closely with CSI’s performing and visual arts faculty as well as facility and technical staff. Oversees internal and external marketing and promotion efforts for Arts on Tour events, backstage and box office personnel, work study students, interns, and volunteers.

Duties & Responsibilities

Oversee all aspects of the Arts on Tour performance series.

• Curate world-class artists to ensure entertainment diversity and artistic excellence.
  • Research performance opportunities and liaison with artists and agents.
  • Evaluate and determine appropriate performances for the region, audience, and budget.
  • Work with regional venues and presenters to coordinate tours and arrange block booking opportunities.
  • Negotiate, finalize and manage all contract terms.
  • Communicate with artists, agents, managers, and production teams to advance events.
  • Oversee all aspects of payments, marketing approvals, catering requirements, lodging requirements, special needs and/or services, etc.
  • Coordinate and contract additional outreach terms with artists.
• Work with CSI technical team to evaluate and procure necessary backline, equipment, staging, personnel, etc. for productions.
• Reserve and oversee use of venue relating to events.
• Coordinate K-12 and CSI outreach programs for various events including work with local school district representatives to determine appropriate events and coordinate audience, event timing, details and transportation when appropriate.
• Oversee all front-of-house and backstage duties for events.
  • Coordinate and schedule security and catering.
  • Schedule and supervise additional staff and volunteer personnel.
  • Work directly with artists and artist management and production teams.
  • Procure specialty, production and backstage items as needed.
  • Set up and tear down green rooms, dressing rooms, quick change rooms, etc.
• Assist as needed with other duties such as merchandising, wardrobe, photography, etc.
  • Create programs and other event materials.
  • Develop audience giveaways and special events.
• Arrange and/or conduct emcee duties.
• Create, implement, manage and evaluate mass marketing efforts including print, digital, video, radio, mail, email and social media campaigns.
• Coordinate and manage all ticketed events run through the Fine Arts Box Office.
• Oversee all Box Office duties including ticketing, personnel, scheduling, event programing and software troubleshooting.
• Manage and receipt funds daily.
• Provide comprehensive accounting reconciliations as needed for events.
• Oversee program budget.
• Manage all vendor relations and payments.
• Manage office inventories and supplies.
• Evaluate program needs and make strategic investments and upgrades that align with program goals.
• Establish, manage and maintain program partner, sponsor and donor relationships.
• Research, apply, track and manage grant opportunities to underwrite the series.
• Supervise work study and intern positions as applicable.
• Oversee all aspects of patron relations.
• Interact daily with individuals to provide customer support, sale tickets, issue refunds, deliver information, evaluate concerns, garner feedback, etc.
• Partner with programs and departments across campus to promote events, grow audiences, and boost attendance.
• Interact and provide additional support to campus programs, faculty, staff and students as needed.
• Represent CSI’s Fine Arts Center and Arts on Tour throughout the region in areas relating to public relations and arts administration and advocacy.
• Other duties as directed and assigned including possibly supervising students through internships or practicum opportunities.

Minimum Qualifications & Skills

• Bachelor’s Degree or equivalent experience in the field of performing arts production/management.
• Must have a background in the arts as well as familiarity with the community and its resources.
• Must have the fiscal and business acumen to run the program as a small business dependent upon generating enough revenue to cover costs.
• Must have the interest and willingness to operate as a full member of the Arts and Humanities Department at the College of Southern Idaho including creating synergy (when appropriate) between credit bearing courses, student performances, and Arts on Tour events.
• Must possess excellent written and oral communication skills.
• Must have a strong service orientation and desire to meet people’s needs; handle challenging situations; provide customer service; and promote teamwork within the department, college and community.
• Must have the ability to work on multiple projects simultaneously.
• Must be self-motivated and able to initiate and complete tasks independent of assistance or guidance.
• Must be organized and capable of prioritizing and executing duties in a constantly changing environment.
• Must be highly detail oriented.
• Must have the ability to manage conflict in a courteous and professional manner.
• Must have the ability to maintain confidentiality in all matters.
• Must have flexibility and a willingness to attend and receive additional training to improve skills.
• Must be willing to work long hours (evenings and weekends), as needed, for events.
• Must have technical aptitudes including strong computer skills.
