What are the responsibilities and job description for the Operations Support Specialist position at College and Career Access Center?
Position Summary:
This position promotes the College and Career Access Center’s services, assists students in navigating post-secondary pathways, and contributes to internal operations and community initiatives, marketing, event coordination, and data tracking. This position will interact with students of all ages, families, school staff, and community partners to advance the Center’s mission of expanding access to college and career opportunities.
Schedule:
- CCAC Center and Operations Support: 13-21 hours/week
- Weekly hours may be scheduled anytime between 9:00 AM and 6:00 PM depending on Center needs.
- Expected to cover one closing shift at the Center until 6:00 PM per week.
Essential Duties and Responsibilities:
Center-Based Operations & Outreach:
- Greet clients, provide information about CCAC services, and schedule appointments.
- Provide 1:1 college and career consultations to clients visiting the Center, helping them navigate post-secondary options, application processes, financial aid, and career planning.
- Conduct outreach to alumni and community referrals to offer continued support in college and career planning.
- Assist with creating social media content and contributions to newsletters to increase community engagement.
- Support community initiatives such as our Kids2College/Pathways to Professional Skilled Trades (K2C/PPST) and Juniors Over the Local Circuit (JOLC) tours.
- Support CCAC events, workshops, and marketing initiatives, including set-up, coordination, and follow-up.
- Maintain our Monthly Scholarship Listing.
- Assist with data entry and tracking for programs, surveys, and events to support reporting and assessment of student, school, and community outcomes.
- Provide general administrative, including document management, mail processing, and assisting leadership with operational tasks.
- Provide finance support as needed.
- Work on additional projects as needed.
Professional Development & Community Engagement:
- Maintain expertise in college admissions, financial aid, and career pathways.
- Attend all monthly team meetings, trainings, team building events, 3 CCAC Center Events, and professional development opportunities.
- Represent CCAC at community events and with potential supporters as needed.
Qualifications:
- Bachelor’s degree required.
- Experience providing college and career advising preferred.
- Strong ability to collaborate with students, families, faculty, staff, and community members from diverse backgrounds.
- Excellent written and verbal communication skills.
- Ability to manage multiple responsibilities, work independently, and contribute as part of a team.
- Strong organizational, time management, and data tracking skills.
- Proficiency in Microsoft Office, Google Workspace, and database management.
- Flexibility to work evenings, weekends, and alternate locations as needed.
