Job Description:
We are seeking a dynamic and detail-oriented Office Manager to handle the day-to-day administrative and operational activities of our organization. This role is essential in ensuring a productive, organized, and positive workplace environment. The ideal candidate is proactive, adaptable, and thrives on keeping operations running seamlessly across departments.
Responsibilities:
- Manage and oversee all daily office operations to maintain efficiency and organization.
- Act as the central point of contact for internal and external communications, providing prompt and professional responses.
- Support the leadership team with scheduling, documentation, and general administrative tasks.
- Maintain and organize company records, reports, invoices, and other key documentation with a high degree of accuracy.
- Monitor office supply levels, coordinate purchases, and manage vendor relationships to ensure cost-effective procurement.
- Assist with human resources activities, including onboarding, employee records, and staff communications.
- Prepare reports, data summaries, and presentations to support decision-making processes.
- Identify and implement process improvements to streamline office operations and enhance team productivity.
Qualifications:
- 2–5 years of experience in office administration, coordination, or management.
- Bilingual proficiency in English and Spanish (required).
- Excellent verbal and written communication skills in both languages.
- Strong command of Microsoft Office Suite and general administrative tools.
- Basic understanding of bookkeeping and record management.
- Exceptional organizational, time management, and multitasking abilities.
- Reliable, self-driven, and comfortable working in a fast-paced environment.
- Previous experience in the construction or service industry is a plus.
Education:
- Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field preferred.
- Additional coursework or certifications in administration, accounting, or HR are considered an advantage.
