Collaborative Medicine LLC is an independent primary care and outpatient mental health practice located in Canton, Connecticut. We provide both in-person and virtual care and focus on delivering compassionate, patient-centered healthcare.

Job Overview
We are seeking to hire a candidate for a Medical Receptionist / Medical Assistant role to join our team and growing practice. Because we are a small practice this is a hybrid type of role that combines front desk responsibilities with basic in office clinical support.

We recognize candidates may not have both skillsets as these are traditionally two different career paths. We will consider hiring a candidate who have strong administrative, clerical and customer service skills if this person would be willing to learn and support clinical duties such as taking vitals, assisting with basic office procedures and learn phlebotomy.

Position Details

  • Part-time, in-office position located in Canton, Connecticut
  • Approximately 24–32 hours per week scheduled Monday through Thursday (Monday scheduling will be based on practice needs which may vary week to week)
  • Reports directly to the Practice Manager
  • There is an opportunity for additional hours to cover other employee vacations and PTO with the potential transition to full-time employment as the practice continues to grow
  • Pay range will match experience and match to qualifications

Essential Duties and Responsibilities

Front Desk & Administrative Responsibilities

  • Support prospective patients seeking to establish care by guiding them through intake processes and ensuring completion of required forms and onboarding steps
  • Answer incoming phone calls, respond to patient messages, and assist with scheduling, questions, and general inquiries
  • Manage appointment scheduling, confirmations, rescheduling requests, and patient reminders
  • Optimize provider schedules based on visit types, procedure requirements, room availability, and patient needs
  • Verify patient demographics, insurance information, and required documentation within the Electronic Health Record (EHR)
  • Greet and check in/out patients in a professional, welcoming, and efficient manner
  • Collect copays, deductibles, outstanding balances, and other patient payments prior to visits
  • Process patient forms, medical records requests, and other administrative documentation
  • Upload and route documents appropriately with consistent naming conventions for organized electronic file systems

Office Operations Responsibilities

  • Monitor and maintain inventory levels of medical and office supplies
  • Conduct routine inventory counts and check expiration dates on medical supplies and medication samples
  • Notify management of inventory shortages and supply needs
  • Assist with maintaining a clean, organized, and professional office environment

Clinical Responsibilities

  • Review upcoming provider schedules and verify that laboratory results, imaging, referrals, and other required information for provider's visit is available in the system prior to the patient being seen
  • Support patient intake and rooming by obtaining and documenting vital signs and medical histories
  • Prepare examination rooms before and after patient visits and clean, stock, and organize exam rooms between patients
  • Perform venipuncture blood draws and in office tests as ordered by provider (we can train)
  • Collect, process, and prepare specimens according to office and laboratory protocols (we can train)
  • Assist providers with basic clinical procedures as directed
  • Timely enter accurate documentation within the EHR for elements you supported connected to the patient visit

Required Qualifications

  • Experience working in an office supporting administrative duties and appointment scheduling (ideally in a healthcare office setting)
  • Excellent verbal and written communication skills with strong organizational skills and attention to detail
  • Ability to multitask and prioritize responsibilities in a fast-paced environment
  • Comfortable using computers, software applications, and new technology systems
  • Reliable, professional, punctual, and dependable with a commitment to providing exceptional patient service
  • Ability to work independently with minimal supervision
  • Ability to perform, or willingness to learn, clinical duties including taking vitals, assisting with in office procedures and lab draws/venipuncture

Preferred Qualifications

  • Experience using Electronic Health Record (EHR) systems (AdvancedMD experience is a plus)
  • Experience with patient registration, insurance verification, and appointment scheduling

Pay: $20.00 - $24.00 per hour
