Job Summary
We are seeking a Document Control and Training Specialist to support enterprise-wide documentation and training processes within a regulated environment. This role is responsible for managing controlled documents, coordinating training materials, maintaining documentation systems, and ensuring compliance with quality standards. The ideal candidate has experience with document management systems, learning management systems, and developing training content while collaborating with cross-functional teams.
Key Responsibilities
• Manage controlled documents throughout their lifecycle, including creation, review, approval, publishing, and archival.
• Maintain documentation within document management and learning management systems while ensuring accuracy and compliance.
• Support document owners with editing, formatting, and maintaining policies, procedures, standards, and work instructions.
• Develop, update, and maintain training materials, presentations, and curriculum content.
• Coordinate training assignments and maintain training records within learning management systems.
• Generate and distribute training and compliance reports as requested.
• Review document metadata and ensure proper classification and version control.
• Provide guidance on documentation workflows, approval processes, and document standards.
• Collaborate with cross-functional teams to support documentation and training initiatives.
• Assist with continuous improvement projects related to documentation and training processes.
• Perform administrative activities associated with controlled documentation and training programs.
Required Qualifications
• Associate degree or equivalent combination of education and relevant experience.
• One to three years of experience in document control, documentation management, quality systems, or training administration.
• Experience using document management systems such as Veeva Vault, electronic document management systems, or similar platforms.
• Experience using learning management systems such as ComplianceWire or equivalent.
• Experience creating or maintaining training content and documentation.
• Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
• Strong document formatting, editing, and version control skills.
• Excellent verbal and written communication skills.
• Strong organizational, time management, and multitasking abilities.
• Ability to work effectively in a regulated environment with changing priorities.
Preferred Qualifications
• Experience supporting Environmental, Health, and Safety documentation or training programs.
• Experience in pharmaceutical, biotechnology, medical device, healthcare, or other regulated industries.
• Knowledge of quality documentation processes, SOPs, and controlled documentation practices.
• Experience with SharePoint or similar collaboration platforms.
