What are the responsibilities and job description for the Construction Controller / Project Accountant position at Coleman Custom?
ABOUT THE ROLE
Coleman Custom is a high-end Vail Valley builder of luxury custom homes, multifamily buildings, and commercial projects. We are hiring a Construction Controller / Project Accountant to own the financial side of every project we build - from first estimate through final draw and closeout - plus the company's day-to-day accounting, payroll, and banking.
You will work directly with the owner across roughly ten active projects spanning custom homes, multifamily, and commercial work. In a typical week you will assemble lender draw packages and pay applications, price and issue change authorizations (PCAs), answer owner and client billing questions, run payroll, and keep vendor pricing organized by cost code.
WHAT YOU WILL DO
- Prepare and submit monthly draw requests and pay applications across residential, multifamily, and commercial projects (schedules of values, AIA G702/G703-style applications, invoice backup, lien documentation)
- - Coordinate draw funding with construction lenders, title companies, owners, and owner's representatives
- - Price, issue, and track change orders and Project Change Authorizations; maintain the paper trail into each draw cycle
- - Manage AP/AR: code vendor and subcontractor invoices by project and cost code, chase W-9s and insurance certificates, resolve disputes
- - Run biweekly payroll and project-coded timesheets; coordinate quarterly filings with our outside CPA
- - Manage cash across operating and payroll accounts; maintain accurate books in QuickBooks Online
- - Help drive our transition to NetSuite as our ERP once implementation is complete
- - Organize sub and vendor pricing by cost code; support estimates and bid comparisons
- - Work daily with our AI-assisted accounting tools (draw assembly, draw review, reporting) and help make them better - we are building an AI-forward back office
- - Serve as the financial point of contact for homeowners and commercial clients - clear, warm, professional communication
WHAT WE ARE LOOKING FOR
- 5 years of construction accounting (controller, project accountant, or senior bookkeeper for a residential, multifamily, or commercial builder or GC)
- - Hands-on bank-draw and pay-application experience: schedules of values, AIA G702/G703, lien waivers, retainage
- - QuickBooks (Online preferred) and strong Excel
- - Competence with AI tools (e.g., Claude, ChatGPT, Copilot) and a real appetite to build them into daily workflows
- - Payroll experience; exceptional written communication; ruthless attention to detail
PREFERRED (NOT REQUIRED)
- CPA license - we value the grounding in accounting fundamentals it demonstrates
- - NetSuite experience - we are completing a NetSuite implementation, and this role will help lead the transition from QuickBooks
- - Construction management software (ConstructionOnline, Buildertrend, Procore)
