- Greet visitors, clients, and vendors warmly and professionally, ensuring they feel valued from the moment they arrive
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently to appropriate personnel
- Maintain organized filing systems, handle data entry tasks, and ensure accurate record keeping using tools like Microsoft Office and Excel
- Schedule appointments, manage calendars, and coordinate meetings for staff or executives with precision and timeliness
- Handle incoming correspondence via email and postal mail, proofreading documents for accuracy and clarity
- Support office management tasks such as supply inventory, equipment maintenance, and basic bookkeeping using QuickBooks or similar software
- Provide exceptional customer service by addressing inquiries promptly and supporting patients and staff with their needs
Requirements
- Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel) and data entry skills
- Excellent organizational skills with the ability to multitask effectively while maintaining attention to detail
- Exceptional phone etiquette skills with experience managing multi-line phone systems and providing customer support
- Previous experience in medical or dental reception is a plus but not required; familiarity with medical or dental office procedures is advantageous
- Strong time management skills with the ability to prioritize tasks efficiently in a busy setting
- Knowledge of bookkeeping practices using QuickBooks or similar programs is preferred
