POSITION TITLE: CHS Administrative Assistant - Athletics

GENERAL DESCRIPTION: The Athletic and Activities Administrative Assistant performs a variety of interpersonal, secretarial, and organizational responsibilities which contribute to the efficient management and coordination of assigned school based tasks.

WAGE CATEGORY: Grade C. Non-Exempt (hourly)

TERMS OF EMPLOYMENT: Per School Board and Support Staff Agreement if position exceeds 20 hours per week; otherwise, per current Handbook for Non-Union Support Staff Personnel.

EVALUATION: Performance in this position will be evaluated annually, in person and in writing, by the Building Administration consistent with the process described in the School Board/Support Staff Agreement if position exceeds 20 hours per week; otherwise, per current Handbook for Non-Union Support Staff Personnel.

QUALIFICATIONS:
- Business education training and experience working in a busy office environment; preferably a school setting.
- Superior word processing and excellent communication/interpersonal skills.
- Previous experience and/or ability working with children or adolescents.
- Flexibility, initiative, and a broad background in computer applications/programs.
- Demonstrated ability to plan, organize, problem solve, and manage conflict.
- Commitment to the School District’s mission and Strategic Plan.

- Arbiter
- Scheduling, confirming and communicating with Officials
- Payment for officials
- Printing rosters on game days
- Logistics onsite Events
- Prepare rosters
- Share weekly calendar with building
- Organize rosters in Rank One
- Organize and communicate athletic eligibility
- Organize and monitor equipment, uniforms and apparel
- Complete and monitor purchase orders
- Organize and support coaches in submitting fundraising forms
- School Building and Culture
- Lobby displays
- Tasks related to events and promotion
- Logistics for events
- Rise Vision updates
- Manages the Athletic Director’s calendar, communications, phone calls, and other necessary logistics
- Supervise the building and field use process for all stakeholders.
- Serve as the athletics and activities coordinator; receive/distribute messages; communicate with coaches, families, and staff; greet students and visitors; respond to inquiries; and model standards or strict confidentiality.
- Manage special projects for the administration (Awards Night, Logistics at events and games).
- Create routine correspondence and other data assigned by the Director.
- If applicable, assist the building administration with the recruitment, training, and assignment of student office aides/clerical aides, as appropriate.
- Oversee administrative functions related to starting and closing each season.
- Support administrative functions related to the end of the school year.
- Maintain data files, and the coaching information
- Demonstrate a comprehensive knowledge of major school events and/or activities.
- Prepare, edit, and collaborate with other staff on publishing The Laker View and Faculty Newsletters.
- Participate as a team member in completing any office tasks as needed.
- Other duties as assigned by the Principal or Athletics and Activities Director.
