Colby-Mueller Orthodontics is a busy, multi-location orthodontic practice serving northern Minnesota from our primary office in Baxter, with satellite locations in Staples, Aitkin, and Pequot Lakes. We run a structured, professional, high-volume clinical environment — and we are growing.
The Role
We are hiring a full-time Front Desk Coordinator to be the organized, welcoming center of our front office. You will own the phones, the schedule, and the check-in / check-out experience — the person who keeps the day running smoothly for patients, families, and the clinical team. If you are warm on the phone, unflappable when it is busy, and take pride in a clean, well-managed schedule, this role is for you.
What You Will Own
● Answering and directing incoming calls promptly and professionally
● Scheduling and confirming patient appointments and managing the daily schedule
● Greeting and checking in patients and families with a warm, professional presence
● Processing check-out and payments accurately
● Maintaining accurate patient records and documentation
● Coordinating with the clinical team to keep the day flowing
● Supporting a calm, organized, professional front office across our locations
What We Are Looking For
● Excellent phone presence — warm, clear, and professional under pressure
● Strong organization and attention to detail — you keep the schedule tight and the records clean
● Comfortable with scheduling software and general office technology
● Reliable, punctual, and a genuine team player across a multi-office practice
● Front desk, dental, orthodontic, or healthcare experience is a plus — but we will train the right person with the right attitude
Compensation & Benefits
Competitive hourly pay based on experience. Full-time benefits including PTO and retirement. Orthodontic treatment benefit for employee and immediate family.
